Job Description

Reporting to the HR Shared Service Administration Team Leader, the HR Shared Services Administrator will act as the first point of contact across the business for all HR administration and provide a comprehensive service supporting all HR transactional work.

Working hours: Monday to Friday, 09.00-17.00 (hybrid working)

Key Duties of an HR Shared Services Administrator:

  • Making appropriate system changes related to New Starters, Leavers, Temporary Workers, Benefits, Pension, and Payroll.
  • Monitoring and responding to emails in the HR Services email inbox.
  • Raising Approval to Recruits (ATR) for Non-Management positions within the Group.
  • Raising Payroll Adjustment Forms (PAF) for employees employed by the Group.
  • Processing new starters, movers, and leavers.
  • Initiating reference requests for new starters and accurately completing external reference requests within an agreed timescale.
  • Maintaining and adjusting shift patterns on the time and attendance system.
  • Maintaining employee E-files.
  • Processing new starters and leavers, updating employee files, drawing up contractual paperwork, and sending it out via DocuSign.
  • Responding to and resolving queries and tasks received in the Central Admin Team Email Inbox.
  • Creating Clock Cards - new and replacements.
  • Performing other administrative duties such as filing, photocopying, and scanning.
  • Maintaining company confidentiality and high standards of professionalism.

Qualifications

  • Previous experience in an administrative role.
  • Highly organized with the ability to prioritize and multitask high volumes of work.
  • Great attention to detail and accuracy.
  • The ability to work accurately under pressure.
  • Effective prioritization skills to meet deadlines.
  • Ability to work as part of a team and independently.
  • Effective communication skills at all levels.
  • Previous experience with SAP HR System and Smart Recruiter ATS is beneficial.
  • Professional, approachable, and helpful demeanor to ensure smooth HR operations.
