Role: HR & Office Executive
Role Purpose
To ensure an outstanding employee experience through the effective administration, management, and continuous improvement of Winmark’s HR and office operations.
3 Primary Objectives
- Office Management: To ensure the office is always ‘client ready’ and operates smoothly by overseeing facilities, supplies, and administrative processes, creating a productive and well-organised work environment.
- HR Operations: To manage core HR functions, including recruitment, onboarding, compliance, and HR systems, to support business needs and operational efficiency.
- Employee Experience: To foster a positive and engaging workplace culture through effective people-focused initiatives, well-being programs, and employee support; striving for an NPS of 50+.
- Reporting: Reports to Chief Executive Officer (CEO).
Key Responsibilities
I. Human Resources
- Employee Relations: Assist the CEO with formal complaints such as grievance or appeals and other major HR initiatives or incidents by, for example, minute taking and setting up meetings. Foster positive employee relations through a healthy workplace culture, open communication, and addressing concerns.
- Record Keeping: Maintain employee records on Breathe HR, keep outsourced functions informed (Finance, Payroll, Pensions), and ensure confidential folders and central data files are well organized and clean.
- Recruitment & Onboarding: Manage the recruitment process from job advertising to interviewing and hiring. Ensure compliance with current legislation and immigration requirements. Support visa applications where needed.
- Performance Management: Ensure appraisal and performance management meetings take place; support line managers with plans and advice.
- Learning & Development: Responsible for internal training including onboarding of new starters, ongoing training development, budgeting for external training, and monitoring results. Promote a culture of learning and support training programmes.
- Compliance: Stay updated on UK labour laws and regulations; ensure HR policies and practices meet legal requirements. Review and improve HR administration and processes.
- Internships: Source interns and oversee end-to-end internship processes with accurate record-keeping.
II. Employee Experience
- Develop and implement initiatives to enhance engagement, well-being, and culture.
- Serve as a trusted point of contact for employee queries and HR-related guidance.
- Organise internal events, recognition programs, and team-building activities.
- Manage birthdays and anniversaries to celebrate milestones.
- Promote a psychologically safe workplace and communicate the Employee Assistance Programme.
- Conduct quarterly NPS surveys and an annual Employee Engagement Survey; analyse results to drive improvements.
III. Office
- Oversee day-to-day office management and maintain a well-organised, efficient environment.
- Manage supplies, equipment, and supplier relationships; ensure health, safety, security, and compliance.
- Provide administrative support to leadership and serve as the first point of contact for office queries.
- Organise internal meetings, take minutes, and manage boardroom bookings, parking, communications, calendars, and utilities.
- Update administrative data, directories, and templates; manage office contracts and renewals; handle postal services and facilities maintenance.
- Maintain office cleanliness, recycling efforts, and organize admin/tech cleaning days.
- Oversee transportation, courier needs, and office equipment.
- Enhance overall employee experience through office environment management.
IV. Other duties
- Perform any other duties as the needs of the business dictate.

Desired Skills & Experience
- Experience in HR, office management, or administrative roles, with exposure to recruitment, onboarding, policy development, and compliance.
- Familiarity with employment law and HR best practices to ensure compliance and business support.
- Experience in office administration, facilities, and vendor management.
- Strong organizational and time management skills; able to manage multiple priorities.
- Excellent communication and interpersonal skills to engage employees at all levels.
- Proactive problem-solving and process improvement mindset.
- High attention to detail and accuracy in HR administration and office tasks.
- Strong IT proficiency, including HR systems, Microsoft Office, and workplace tools.
- Ability to handle sensitive and confidential information professionally.
- Diligence in understanding and applying regulations and procedures.
- Hands-on, practical approach to the office environment.
