Job description

Hybrid working: 3 days in the Omnicom office at W2 London, and 2 days remote working

Contract Type: 12 Month Fixed Term Contract

Overview:

The Human Resources Coordinator will provide HR coordination for employees & contractors for the UK-based Omnicom Health Group (OHG) companies. This role will partner with all functions of the broader HR team (TA and HRBPs) to timely complete all assigned tasks.

Responsibilities:

HRIS Data

  • Pull, analyze, and provide various reports from HRIS system
  • Provide data analysis metrics to the HR Business partners
  • Keep the HRIS is kept up to date
  • Action merit/salary increase or other compensation changes (e.g bonus)Input and run holiday and sickness reports

Freelancers/Contractors

  • Collaborate with the Operations and TA functions to carry out onboarding and extension tasks in line with IR35 compliance needs
  • Manage onboarding & offboarding process for freelancers
  • Monitor mandatory training compliance for freelancers/contractors

Employee Lifecycle

  • Draft documents in relation to the employee lifecycle, eg; onboarding, offboarding and compensation
  • Support the HRBP’s with onboarding tasks
  • Share employee exit interview information
  • Support the HR Advisor throughout the probation process
  • Support the Benefits Coordinator with Benefits administration as required
  • Support the HRBP team manage benefit queries

Immigration

  • Do right to work checks as required
  • Keep Agency migrant trackers up to date

Health & Safety (H&S)

  • Manage employee risk assessment process
  • Keep employee risk assessment forms up to date
  • Assist in the completion of mandatory H&S training for new hires

Ad- hoc HR Coordination

  • Update internal onboarding and offboarding trackers
  • Employee data reporting & data analysis as assigned
  • Assist the HR Business partners with projects as assigned

Qualifications and Experience:

  • Experience in a HR coordination role in a fast-paced, collaborative working environment with a focus on operations.
  • Ability to multi-task and handle various requests with accuracy and proficiency within tight deadlines.
  • Experience of data handling with strong attention to detail.
  • Ability to project manage and deliver task output within required deadlines.
  • High degree of confidentiality.
  • Strong verbal, written and customer service communication skills.
  • Fluent in English language – verbal and written
  • Collaborative approach with a ‘can do’ attitude.
  • Proficiency in Microsoft Office Suite, at minimum intermediate or advance word/excel user
  • Experience of various HR tools and systems - i.e. SuccessFactors and Culture Amp is preferred, but not required.
  • Interest in learning company policy and employment law.
  • Qualification within HR or equivalent experience.
