People Operations Coordinator

Location: Hybrid / Head Office

Salary: £27,000 + Bonus + Benefits

Contract Type: Full-time, Permanent

Reports To: People & Operations Coordinator / Head of People

Are you highly organised, detail-oriented, and passionate about helping people have a great start in their roles? Join us at Charity Link as our new People Operations Coordinator and play a key role in making every employees first experience a positive one.

About The Role

At Charity Link, we believe that first impressions matter. Thats why were looking for a dedicated and proactive People Operations Coordinator to support our People Team in delivering a smooth and structured onboarding experience.

This is a vital role in ensuring new starters feel welcomed, supported, and set up for success from day one. Youll coordinate key HR and onboarding processes, take ownership of our Start Right Programme, and be the go-to contact for new employees and Fundraiser Relationship Coaches (FRCs) during the critical first three months.

Key Responsibilities

Onboarding & Induction

  • Manage all onboarding documentation and communications
  • Liaise with Team Managers and coaches to organise rotas and coaching support
  • Ensure timely set-up of systems, contracts, IT and first-day readiness
  • Maintain accurate onboarding records and trackers

Employee Support & Administration

  • Be the first point of contact for HR queries via inbox and phone
  • Conduct check-in calls with new starters
  • Manage day-to-day HR admin including leave requests and record updates
  • Keep employee data accurate across platforms like Dynamics and Edays

Leavers & Exit Process

  • Process leaver paperwork and update systems
  • Notify payroll and departments accordingly
  • Conduct Head Office exit interviews and ensure secure data handling

Additional People Team Support

  • Maintain the weekly sickness log
  • Assist with internal communications, awards and milestones
  • Support general HR tasks and keep processes ticking behind the scenes

What Success Looks Like

  • New starters have a smooth and supportive first three months
  • Onboarding is well-coordinated across departments
  • HR data is accurate and well-maintained
  • Queries are handled with warmth and efficiency
  • Youre a reliable, proactive part of the People Team

About You

This role is perfect for someone who takes genuine pride in getting things right the first time, every time. You're meticulous with detail, thrive on process, and enjoy supporting people in a calm, organised way.

Essential

What Were Looking For

  • Prior admin experience (HR experience desirable, not essential)
  • Experience managing sensitive or confidential data
  • High attention to detail and a methodical approach
  • Confident communicator (written and verbal)
  • Proficient in Microsoft Office and comfortable with HR systems
  • Reliable, proactive and discreet team player

Desirable

  • Experience in an HR admin or onboarding role
  • Familiarity with HR systems like Dynamics, Edays or Zinc
  • Experience supporting field-based or multi-site teams.
