Job description

Job Title: HR Apprentice / Administrator

Responsible to: HR Manager

Responsibilities:

  1. Produce, scan, and provide offer letters and contracts of employment to new and existing staff.
  2. Send out contract packs to all new employees, ensuring all information is returned in a timely manner and processed/ filed.
  3. Process staff data onto the HR information system (New Starters, Leavers, Change of hours / salary, and other contractual changes within the time scales to meet the payroll deadlines).
  4. Respond to reference requests received for ex-employees promptly.
  5. Update and maintain HR content on the Intranet.
  6. Monitor the HR Admin Inbox daily and action queries and reference requests.
  7. Collect, open, and distribute post for the team and deliver post to the post room.
  8. Support the HR department with maintaining HR administration support, including information processing, HR system management, and general HR administration.
  9. Provide overall HR administrative support, including mail merge and large mail outs.
  10. Maintain filing and archiving of all personnel files.
  11. Manage stock levels of stationery and order supplies as needed.

Training & Qualifications:

  • GCSEs in Maths & English (grades 4/C or above) required.
  • Desirable: NVQ Level 2 in Administration or equivalent, CIPD Level 3 Qualification (obtained or in progress).
