Job summary

Qualifications

  • Strong written and verbal communication abilities.

Responsibilities

  • Provide proactive administrative support to the HR team, coordinating onboarding and probation processes.
  • Prepare HR correspondence and use DocuSign for letters and reference requests.
  • Organise the Insights programme for work experience students.
  • Upload headshots to Workday and HR pages on the intranet.
  • Run Workday reports: weekly headcount, contact details, and ad hoc reports.
  • Update organisational charts and the New Starter tab on intranet.
  • Prepare induction schedules and arrange buddies and supervising partners.
  • Assist with HR audits and medical questionnaires in NetDocs.
  • Handle e-filing and invoicing with the tracker; manage the HR inbox.

Job description

The HR Apprentice provides essential administrative support to the London HR team, acting as a first point of contact for HR queries and ensuring smooth delivery of core processes across the employee lifecycle. The role focuses on coordinating onboarding and probation processes, maintaining HR systems and records, and supporting day-to-day HR operations with accuracy and efficiency.

Responsibilities:

To provide pro-active administrative support to the team, including but not limited to:

  • Liaising with line manager on the timely co-ordination for all employee's mid and end of probation meetings and the issuing of appropriate documentation.
  • Preparing HR correspondence, using DocuSign where appropriate e.g. probation completion letters and reference requests.
  • In conjunction with the HR Coordinators and HR Advisor, organising the Insights programme for work experience students.
  • Uploading headshots to Workday and HR pages on the intranet.
  • Running Workday reports: weekly headcount report; weekly contact details report and ad hoc reports.
  • Monthly updates to organisational charts, including New Starter tab on intranet.
  • Preparing Induction schedules for new joiners and arranging buddies and supervising partners.
  • Assisting the Senior HR Manager and HR Advisor with various HR audits, including medical questionnaires in NetDocs.
  • E-filing including creating new staff files.
  • Saving completed medical questionnaires from new starters in the relevant employee NetDocs folder.
  • Scanning and shredding physical employee files.
  • Preparing invoices for payments and completing the invoice tracker.
  • Managing the HR inbox and directing emails to the appropriate team members.
  • When required, providing support to the Recruitment and Professional Development teams during busy periods.
  • Ad hoc project work as required.

Person Specification:

  • A minimum of five GCSE’s, including Maths and English, at grade 4 or higher.
  • A Levels and/or GCSE’s in either Business, Psychology or Sociology preferred.
  • Previous work experience in customer service or professional services would be beneficial.
  • Good numerical skills.
  • Good IT skills, especially Word and Excel.
  • Good interpersonal and communication skills (both written and oral), coupled with the ability to listen.
  • Excellent attention to detail.
  • Able to meet deadlines, prioritise and demonstrate good organisational skills.
  • Excellent communication skills and a professional approach.
  • Proactive and self-motivated mindset.
  • Confidentiality and discretion when handling sensitive information.
  • Team-oriented attitude with a collaborative approach.
  • Adaptability and willingness to learn.
  • Commitment to delivering a high level of service.

Training and Development:

This Apprenticeship is provided on an 18-month basis, during which time the HR Apprentice will be able to study towards their Level 3 CIPD qualification (one day of study leave per week).
