A leading HR firm located in Tamworth is seeking a HR and Payroll Administrator. The role involves administering payroll functions, managing HR processes, and maintaining employee records. Candidates should have experience in HR administration and payroll, along with strong organizational and communication skills. Scolmore have an exciting opportunity for a HR and Payroll Administrator to join our HR Team. This role is responsible for the administration of the payroll function across the Scolmore Group, administrating HR processes and maintaining accurate records, responding to general HR queries, and providing administrative support to the wider HR Team.
Main Duties
HR Administration
• To create, maintain and update electronic personnel record systems containing all employment-related information, including absence, holidays, new starters, and leavers for the Scolmore Group
• To work in conjunction with the HR Coordinator and HR Advisor ensuring all emails in the HR Inbox are actioned e.g., queries answered, and absences logged
• To support and complete the HR administration process for new starters, including producing contracts, offer letters and employee correspondence, pre-employment, and right-to-work checks
• Liaising with various departments to ensure preparations for new starter induction e.g., company credit cards, IT equipment, company car, etc to ensure a smooth onboarding process for each new starter
• Replying to reference requests
• Be responsible for the HR system year-end process, updating and entering holiday allowances and making the relevant adjustments for the following year
• Liaise with Warehouse Managers to collate warehouse induction paperwork for new starters, recording right-to-work and relevant paperwork
• Manage the annual appraisal process for the Scolmore Group and track/collate staff training requirements, sharing the information with HR Operations Manager/HR Advisor and ensuring appraisals are completed
• Monitor the staff probationary process and issue relevant letters, liaising with line managers to ensure reviews are completed on time
• Manage the employee benefits processes, ensuring entitlements to Paycare and BUPA are issued correctly, administrate invoices and associated documentation correctly
• Administrate and co-ordinate the leaver’s process, calculating final pay entitlements, issuing correspondence, and liaising with various departments to ensure company-issued equipment is returned and arrange exit interviews
• As directed by the HR Operations Manager, ensure GDPR documentation retention periods are adhered to.
Payroll
• Cross-checking of holidays, Warehouse overtime and shift allowance, sickness, new starter, and leaver information, changes to pay, and benefits in preparation for the monthly payroll
• Monitoring Time and Attendance data within the HR System, in line with the Payroll process
• Prepare monthly payroll data sheets for the Scolmore Group, liaising with the payroll provider to ensure the accuracy of information by the agreed cut-off date
Sickness Administration
• Monitoring sickness absence notifications
• Ensuring return to work and self-certification documents are prepopulated and sent to line managers for completion following a sickness absence
• Assess and record whether a sickness absence is paid or unpaid for the purpose of payroll
• Monitor whether any triggers have been met in line with the Group Attendance Management policy, escalating to the HR Advisor when required
• Prepare invitation letters on behalf of line managers, where a stage meeting is required
• Chase outstanding documentation, file returned documents, and update PeopleHR records to ensure reminder notifications are turned off
Essential Skills and Experience
• Experience as a HR Administrator
• Understanding various HR software systems
• Experience of payroll administration
• Computer literate with programmes such as Word and Excel
• Organisational skills and ability to prioritise
• Interpersonal with good communication skills
