Job description

  • Keep “blackbook” up to date with freelancers’ availability
  • Book freelancers in Worksome, draft Scopes of Services, and manage contracts
  • Utilise Avature (our internal ATS) for both permanent and freelance roles
  • Schedule interviews with Hiring Managers
  • Manage Predictive Index assessments and maintain the candidate database

General Operations & Office Support

  • First point of contact for clients, visitors and employees — delivering a warm and professional welcome.
  • Manage meeting room booking and preparation, including catering if required.
  • Book team travel and hotel accommodations, securing cost-effective options.
  • Responsible for new starters’ induction process, ensuring a smooth onboarding experience.
  • Take an active role in our Social Committee to help foster a strong workplace culture.
  • provide PA support to the CEO, including calendar and expense management.
  • Support our Operations Director by managing the freelancer booking process.

What we’re looking for in the HR and Operations Advisor:

Must have:

  • Excellent communication skills (written and verbal) — ability to foster strong relationships at all levels.
  • Ability to work independently with discretion and a high degree of confidentiality.
  • Ability to manage multiple priorities under pressure while retaining strong attention to detail.
  • Collaborative team player with a helpful, enthusiastic and solution-oriented approach.
  • Strong organisational and time management skills for this busy role requiring careful follow-through.
  • Ability to learn and adapt quickly in a changing workplace.
  • Proficiency in IT (Word, Excel, PowerPoint and related business software).
  • A professional, trustworthy, calm, and dependable character — able to handle sensitive and confidential information with discretion.

Nice to have:

  • Experience with Workday (HCM) for maintaining employee data and generating reports, is a strong advantage
  • Previous experience with Worksome or other freelance administration platforms would be helpful
