Job description

HR Administrator to join our dynamic HR Service Centre team.

Location: Oxfordshire Added: 16/04/25 Salary: 35,000

Are you passionate about HR and looking to make a real impact? We are seeking a dedicated HR Administrator to join our dynamic HR Service Centre team. Reporting to our HR Shared Services Team Leader, you will play a crucial role in providing professional, timely, and proactive HR administration support.
Role Summary: As the HR Administrator, you will be the first point of contact for employee queries, working collaboratively with the wider team to provide resolutions. Your role will involve accurate HR administration, supporting various HR functions, and contributing to continuous improvement initiatives.
Key Responsibilities:

  1. HR Administration:
  2. Act as the first point of contact for all queries coming into the HR Service Centre, ensuring timely responses and keeping customers informed.
  3. Manage tasks assigned in the HR Inbox, responding in line with agreed SLA’s and allocating to team members as needed.
  4. Provide basic advice on policies and procedures to employees and managers.
  5. Support with writing HR letters, including variations and leaver letters.
  6. Assist the wider HR team with administration tasks such as Learning and Development.
  7. Raise requisitions and purchase orders for the HR team.
  8. Collaborate with Talent Acquisition to ensure timely issuance of Contracts of Employment.
  9. Liaise with Background Check providers to administer checks for candidates and current employees.
  10. Coordinate policy renewals with policy owners.
  11. Arrange meetings and take notes as required.
  12. Log and update accurate real-time data in HRIS for all employees.
  13. Process employee transactional changes in Workday following appropriate approvals.
  14. Administer payroll and benefits accurately and timely via HRIS.
  15. Ensure benefits and payroll platforms are updated as required.
  16. Write end-to-end employment lifecycle processes and suggest efficiencies and improvements, ensuring GDPR compliance.
  17. Contribute ideas and solutions to deliver excellence in HR.
  18. Work proactively with the team to exceed organisational OKR’s.
  19. Undertake regular audits in line with employment lifecycle processes.

HRIS and HR Data:

  1. Ensure accurate operation of HRIS with up-to-date data.
  2. Identify and rectify data errors in HRIS.
  3. Support HRIS improvements to optimise functionality and improve employee experience.
  4. Prepare reports from HRIS as required.
  5. Escalate HRIS issues to the wider HR Service Centre team.
  6. Maintain electronic employee records for audit and compliance purposes.

Projects:

  1. Support the wider HR team with administration related to HR projects.

Person Specification:
Qualifications/Knowledge/Experience:

  1. Essential experience as an HR Administrator, preferably in an HR Service Centre environment.
  2. Level 3 CIPD qualification is advantageous but not essential.
  3. Up-to-date knowledge of UK employment legislation.
  4. Confident communicator with a clear, engaging, and collaborative style.
  5. Strong partnership working skills with various stakeholders.
  6. Ability to work flexibly and meet deadlines.
  7. Basic knowledge of payroll and pension legislation.

Skills:

  1. Excellent customer service skills with a can-do attitude.
  2. Ability to build a strong team ethos and high-performing culture.
  3. Curiosity and eagerness to learn and innovate.
  4. Proficient in using multiple technology platforms, including Excel, Word, and Teams.
