The HR Admin in the haulage and containers industry plays a key role in supporting the HR team with a broad range of administrative tasks, ensuring compliance with industry-specific regulations, and supporting the day-to-day operations. The role is focused on maintaining accurate records, managing recruitment processes, employee relations, compliance (including DBS checks), and assisting with health & safety practices, all within the context of the logistics and transportation sector.

Key Accountabilities/Primary Responsibilities:

HR Administration Support

  • Provide comprehensive HR administrative support across all HR functions, including recruitment, onboarding, employee record-keeping, and general HR operations.
  • Coordinate and assist in the recruitment cycle, from scheduling interviews to conducting reference checks, ensuring compliance with relevant transport industry standards (e.g., HGV licenses, CPC qualifications).
  • Ensure compliance with "Right to Work" and other documentation requirements for all new hires and current employees, including DBS checks.
  • Draft a variety of correspondence, including investigation letters, disciplinary outcome letters, memos, and other formal communication, ensuring clarity and adherence to policy.
  • Assist in the implementation and support of HR programs, policies, and initiatives, contributing administrative support in areas such as performance management, employee terminations, disciplinary hearings, and grievance resolution.
  • Onboarding & Induction Oversee and coordinate employee onboarding and inductions, ensuring new hires are aware of company policies, safety procedures, and job-specific requirements.
  • Lead driver inductions, ensuring training on company policies, compliance with HSE regulations, and specific job requirements.
  • Compliance & Record Management
  • Maintain up-to-date employee records, ensuring all documentation, including contracts, licenses, safety certifications (e.g., CPC), and training, is accurate and compliant with legal and regulatory standards.
  • Conduct regular checks to ensure employees are compliant with health & safety, PPE, ADR training, and other regulatory requirements.
  • Driver Recruitment & Retention
  • Support the recruitment and retention of drivers, ensuring all relevant regulatory compliance (e.g., driver licensing, CPC qualifications) is met
Track and manage expiring driver certifications, conducting follow-up on training and renewalsto maintain operational standards.

Health & Safety (HSE) Compliance

  • Assist in managing health and safety procedures, particularly in relation to driving staff and transport operations.Conduct regular risk assessments across company sites, ensuring all safety measures are followed and well-documented.Oversee the upkeep of safety equipment such as fire alarms and defibrillators, ensuring regular checks and compliance with legal standards.
  • Training and Development
  • Coordinate and facilitate training programs, including driver CPC training, safety courses, and other compliance-based training.
  • Ensure all employees (particularly drivers) receive training in line with industry requirements and company policies
  • Employee Relations & Conflict Resolution Manage employee relations issues, including conflict resolution, ensuring adherence to policies and procedures to maintain workplace harmony.
  • Reporting & Data Management
  • Track and maintain HR data for reporting on key metrics such as employee turnover, absenteeism, and training status.
Provide insights on workforce trends, compliance issues, and health & safety performance to senior management.
  • Additional Tasks
  • Liaise with the legal department on compliance-related issues (e.g., HSE citations).
  • Ensure compliance with uniform and PPE standards, tracking and issuing necessary items to employees.
  • Support the HR team with general administrative tasks as required.
