Job summary

Blackpool Teaching Hospitals NHS Foundation Trust is hiring a HR Administrator to support the Workforce Team. The role focuses on delivering administrative support and handling day-to-day workforce queries with a customer-focused approach. Qualifications

  • Good level of basic education to include GCSE maths and English, NVQ level 2, or evidence of administrative knowledge and skills equivalent to level of qualification
  • NVQ 3 Team Leadership or Business Administration or Customer care or equivalent experience
  • Experience with Microsoft Office and Trust IT systems

Responsibilities

  • Be the first point of contact providing basic advice and guidance on day-to-day workforce queries
  • Provide comprehensive administrative support to the Workforce Team for case work and projects
  • Use IT systems to collate and produce workforce management information/metrics
  • Arrange meetings/hearings, liaise with participants and secure rooms

Main duties of the job

Provide a high standard of administrative support to the Workforce Team. To work under the direction of the HR Advisor and HR Manager, to assist in the provision of a comprehensive, efficient and effective workforce advisory service.

Working from the Trust’s policies and procedures, provide basic advice and guidance to staff and line managers to resolve day to day workforce queries.

Detailed job description and main responsibilities

DUTIES AND RESPONSIBILITIES

  • To be the first point of contact in providing basic advice and guidance on day-to-day workforce queries, working within the boundaries of the Trust’s Policies and Procedures, signposting when necessary and escalating to a senior colleague when appropriate.
  • Provide a comprehensive administrative support service to the Workforce Team in all aspects of case work, projects, and Agenda for Change.
  • Effective use of the IT systems to collage and produce the workforce management information/metrics, ie. appraisal and mandatory training figures etc.
  • Take a proactive approach in arranging meetings and hearings within agreed timescales, liaising with those involved and securing appropriate rooms when required.
  • Produce accurate records of minutes, either handwritten and/or typed, during meetings/hearings and distribute to the appropriate sources.
  • Arrange dates and venues for training sessions and provide administrative support.
  • Copy and issue hearing packs by the required deadlines

EDUCATION AND QUALIFICATIONS
  • Good level of basic education to include GCSE maths and English, NVQ level 2, or evidence of administrative knowledge and skills equivalent to level of qualification
  • NVQ 3 Team Leadership or Business Administration or Customer care or equivalent experience
EXPERIENCE AND KNOWLEDGE
  • Good knowledge and understanding of reception / office procedures
  • Experience of working with a range of Microsoft Office packages (eg. Word, Excel, Outlook, PowerPoint and Access)
  • Experience of using Trust IT systems
  • Experience of working in Healthcare
SKILLS AND ABILITY
  • Excellent communication / customer care skills both written and verbal demonstrating sympathy and compassion
  • Advanced keyboard / IT skills Including audio typing
