The Vacancy
As a HR Admin Assistant at DLR, you will provide professional and proactive HR assistance and generalist support to the site while maintaining confidentiality and sensitivity. You will ensure employee matters are handled professionally and efficiently.
Your daily activities will include:
- Monitoring live cyclical and CAT B security checks for all employees to ensure effective turnaround times in clearance, updating relevant documents in our HR Systems once cleared.
- Managing recruitment activities by working closely with management and third parties to shortlist applicants and schedule interviews.
- Preparing or supporting the processing of offer letters/contracts for changes to employee terms and conditions, such as flexible working, role changes, or shift adjustments.
- Coordinating and arranging onboarding for new starters based on advice from the Lead HR Business Partner or HR Advisor, ensuring necessary paperwork is sent ahead of the joining date.
- Processing recruitment via the Recruitment platform to ensure seamless data capture and full recruitment lifecycle management through Recruitment Plus.
- Ensuring all employee records, both electronic and hard copies, are up to date and compliant with audit requirements.
- Maintaining HR systems including Synergy, the Time and Attendance System, and Recruitment+.
- Rectifying daily anomalies in the Time and Attendance System and inputting weekly overtime.
- Checking and validating weekly timesheets for agency employees and raising invoices against purchase orders promptly.
- Participating in HR meetings and special projects as required.
- Managing weekly Occupational Health review schedules and updating all results in the system.

Essential Capabilities
- Good attainment of GCSEs or equivalent, including English and Maths
- Excellent written and verbal communication skills
- Ability to maintain confidentiality at the highest level and be assertive yet professional
- Organized with the ability to manage and prioritize a busy workload, with excellent attention to detail and ability to work independently
- Solution-oriented with a team player attitude
Desirable Skills and Qualifications
- Unionized experience
- Previous experience working with HR Information Systems and Time Management Systems
- Educated to A Level or equivalent
- CIPD Level 3 or working towards it
- Previous manufacturing experience and understanding of shift work, as well as administrative experience within an HR environment, are advantageous.
