Main Purpose of the Role

The HR and Admin Advisor will play a key role in supporting the smooth running of The Customs House by providing a basic but essential HR support service. This includes assisting with recruitment, onboarding, record-keeping, and advising managers on routine HR matters. In addition, the role provides administrative support across the organisation, including the preparation of freelance contracts, coordination of auditions and call outs, and assistance with project-related administration.

The HR and Admin Advisor will work closely with teams across The Customs House, including management, freelance staff, creatives, and external partners. The role requires a collaborative, detail-oriented individual with a can-do attitude and a passion for supporting people and processes behind the scenes of a busy, creative environment.

Key Responsibilities

Human Resources Support

  • Coordinate recruitment processes including drafting job adverts, scheduling interviews, issuing offer letters and undertaking pre-employment checks.
  • Manage and maintain accurate employee records, particularly relating to sickness absence, annual leave, and training.
  • Facilitate onboarding and induction processes for new employees.
  • Provide general advice and guidance to line managers on everyday HR issues in line with internal policies and procedures.
  • Support with the preparation of employment contracts and variation letters.
  • Ensure employee documentation is up to date and filed securely in line with data protection requirements.
  • Assist with tracking and reporting of HR metrics, such as absence rates and training completions.

Administrative Support

  • Draft and prepare contracts and agreements for freelance staff and casual workers.
  • Support the coordination and administration of call outs, auditions, and casting processes.
  • Provide general administrative support to various departments and projects as needed.
  • Assist with event planning, scheduling, and logistics for internal meetings and external activities.
  • Maintain accurate records of administrative processes and contribute to the development of efficient office systems.

Person Specification

Essential

  • Experience in an administrative or HR support role.
  • Good understanding of basic HR processes and employment practices.
  • Strong organisational and time management skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook).
  • A proactive and flexible approach to work, with the ability to manage competing priorities.

Desirable

  • CIPD accredited or working towards qualification.
  • Previous experience in the arts or creative sector.rm
