Job Description

To assist the Housing Asset Manager with the effective implementation of the Council's Housing Investment Strategy and to provide council tenants with all relevant information to ensure that they are aware of the extent and processes involved in the carrying out improvement works in their home.

To consult with Tenants, Property Resources and Design, contractors and Area Housing Teams to ensure that improvement work in tenants homes are carried out efficiently and effectively under the direction of the Housing Asset Manager.

To be familiar with all relevant policies, legislation and performance requirements affecting Housing Repairs and Improvements and to ensure these are incorporated in Asset Management processes.

Responsibilities
  • In conjunction with Housing Information Officer, update relevant databases with tenant information full details and work programmes undertaken. Ensure the NEC modules and data elements are kept up to date in a timely manner.
  • Be the Asset Management Team (Housing) first point of contact for Tenants & Area Housing Office staff in respect of queries, complaints, compensation issues and other matters relating to improvement work.
  • In conjunction with the Clerical Assistant Check and process internal/external invoices. Maintain office budget spreadsheet and petty cash. Raise purchase orders and administer card payments. Monitor, invoice and record Out of Hours recharges.
  • Process and issue client instructions on behalf of the Asset Manager (Housing).
  • Administer payments in connection Decoration payments following on from improvement works.
  • Input Condition survey and EPC Ratings into iWorld and Asset Management System and keep stock database up to date.
  • General office duties.
The Individual
  • Considerable experience of working in a busy office environment using relevant technology e.g. photocopier, E-mail, Intra/Internet.
  • Knowledge of Contract Management.
  • Clerical/administrative experience.
  • Experience of supervision of staff.
  • Experience of utilising a range of computer packages including Microsoft Office, Excel and Access.
  • 4 SQA standard grades or equivalent at Level 3 or above including English and Maths/Arithmetic
  • Accuracy and attention to detail when recording information.
  • Ability to organise workload and work methodically.
  • Willingness to work in a demanding position where a flexible approach is required.
  • Ability to work on own and as part of a team and act on own initiative.
  • Self-confident and self-motivated
  • Effective liaison skills.
  • Good oral/written communication.

  • Ability to work in an open plan/shared office.
  • Must be able to work flexibly to meet the needs/demands of the service.
