What you'll be doing:

Main duties:

  • Handle hospitality enquiries as the first point of contact
  • Manage incoming sales and hospitality enquiry calls
  • Support the Hospitality Team
  • Client liaison and account management
  • Process hospitality bookings and related finances
  • Perform departmental administration and filing

More about the role:

Daily duties:

  • Prepare weekly function sheets and update CPU clipboards daily
  • Update event consumptions within 24 hours
  • Maintain the daily event calendar with incoming enquiries
  • Add new enquiries to the hospitality pipeline tracker and update regularly
  • Record confirmed events in Planon
  • Manage hospitality emails and respond within 24 hours
  • Handle hospitality phone inquiries
  • Coordinate with Dispatch and Hospitality Supervisors to meet delivery and customer requirements

Sales and Marketing:

  • Provide excellent customer service and communication
  • Prepare quotations for Occasions and Only at Oxford brands
  • Assist in creating pitches and designs
  • Manage the Only at Oxford Instagram and Twitter accounts

Finance:

  • Ensure all events are recorded in Planon
  • Monitor and update consumption data
  • Complete Nexus labour and hospitality stock documentation
  • Track uniforms, conduct stock takes, and handle purchasing
