Job summary

Gateshead Health NHS Foundation Trust seeks an experienced administrative coordinator to support the Hospice at Home team in Gateshead with scheduling, diary management and the administration of end-of-life care services.

You will work closely with the Nurse Coordinator to plan home visits, manage communications, prepare reports and documents to a high standard, and assist with education administration for palliative care across the trust.

Qualifications

  • GCSEs including Maths and English Language at grade 4 or above.
  • NVQ Level 3 in Business Administration or equivalent knowledge/experience.
  • Previous NHS experience preferred.

Responsibilities

  • Assist Nurse Coordinator with day-to-day activities and home-visit planning for Band 3 workers.
  • Develop and deliver high-quality administration processes for safe, effective community services.
  • Answer external and internal calls and emails, prioritising patient information and interventions.
  • Maintain Nurse Coordinator diary and schedule appointments, resolving clashes.
  • Prepare agendas, collate papers and distribute documents for meetings.
  • Daily use of Emis Community module and data reporting tasks.
  • Support education administration for End of Life care.
  • Produce high-standard letters, presentations, and documents.

Job description

The post holder will be responsible for directly supporting the Hospice at Home team in Gateshead with the administration and co-ordination of services and schedules.

They will provide vital administrative support to the team which provides domiciliary care to patients at the end of life who wish to be cared for at home.

The post holder will also work alongside the End of Life care facilitator to support with the administrationrequired for Palliative and End of Life care education across the trust.

Main duties of the job
  • Support and assist the Nurse Coordinator to successfully deliver all activitiesrelating to the day to day business of the team. This will include the planning ofhome visits for a team of Band 3 support workers.
  • Responsible for the development and delivery of high quality administrationprocesses to aid the delivery of safe and effective clinical services in a communitysetting.
  • Respond to external and internal telephone enquiries and take appropriate action asa result of the enquiry.
  • Prioritise telephone calls regarding patient information and potential interventions,taking all necessary action for the call to be handled as quickly and efficiently as possible.
  • Respond and manage any e-mail queries and requests for meetings on behalf of the team.
  • Maintain the diary of the Nurse Coordinator and any other designated team member Scheduling appointments and resolving conflicting diary appointments.
  • Preparing agendas, collating papers and distributing documents to meeting attendees as directed by the Nurse Coordinator.
  • Dealing with and collating data. Contribute to the preparation and development of multiple reports of varying content,
  • Preparation of presentations, letters and other documents to a very high standard.
  • Support End of life care facilitator with education administration

  • Exercise excellent communication skills with a wide range of stakeholders.
  • Respond and manage any e-mail queries and requests for meetings on behalf of the team.
  • Maintain the diary of the Nurse Coordinator and any other designated team member
  • Scheduling appointments and resolving conflicting diary appointments.
  • Preparing agendas, collating papers and distributing documents to meeting attendees as directed by the Nurse Coordinator.
  • Daily use of Emis Community module

  • Contribute to preparation and development of multiple reports of varying content, including the development of the suite of documents required to embed robust processes and any business cases to support the team.
  • Preparation of presentations, letters and other documents to a very high standard.
  • Work with limited supervision using own initiative.
  • Be aware of the priorities and needs of the team and assisting in achieving all deadlines.
  • Maintain a courteous helpful attitude and respect confidentiality.
  • Undertaking data analysis and interpretation as required.
  • Monitoring progress and checking against agreed targets.
  • Managing electronic and hard copy filing and bring-forward systems.
Qualifications
  • Good standards of general educationminimum of 4 GCSE's of equivalent including Math's and English Language grade 4.
  • Educated to NVQ level 3 (at least in Business administration or equivalent knowledge/experience
  • Previous NHS experience
Knowledge
  • Knowledge of computer packages: Word, Excel, Access, Outlook and Powerpoint Knowledge of Data Protection and Calidcott Principles
  • Knowledge of Healthcare IT System
Experience
  • Experience of supporting managers or teams of staff
  • Experience of working with computer systems/programs (Databases, PowerPoint, word document)
  • Experience of working with Community based healthcare services
Skills
  • Ability to communicate accurately verbally and in writing with a wide range of people.
  • Ability to prioritise workload
  • Experience of working in palliative care.
