We are currently seeking a Hire Desk Controller to join our growing team. As a Hire Desk Controller, they will play a crucial role in managing the hire and return of equipment, ensuring smooth coordination between contracts, suppliers, site managers, and maintaining a high standard of customer service.
The role is vital in supporting the successful delivery of utility projects and ensuring that all equipment requirements are met efficiently.
Responsibilities:
- Processing all hire requests throughout for both vehicles and plant through our hive system (on and off hire)
- Contact suppliers for availability of equipment
- Raising purchase order numbers to cover the hire and processing the goods received notes
- Raise hire contracts into the plant management system (Syrinx) ensuring all data is applied correctly and costings are assigned to the correct cost center
- Organise delivery and collection of equipment to meet client project deadlines, while communicating effectively with site managers to ensure smooth operations
- Address any issues that arise such as equipment breakdown or delivery/collection delays and find effective solutions to keep projects on track
- Raise off hires with suppliers and process return notes, ensuring costs are costed on the correct weeks
- Compliance - ensuring all equipment is compliant by coordinating, servicing, maintenance schedules so all plant is fit for purpose and safety regulations are met
- Updating reminder records in Syrinx with the next due date for calibrations and inspections
- Creating and maintaining job cards in Syrinx for repairs and damages for owned and hired assets
- Creating order numbers to cover repairs, damages and lost items for suppliers and ensuring costs are recovered through Syrinx
- Update fleet numbers in Syrinx when kit is being exchanged and update managers
- Plants sheets - Daily updates on contract movements, gang changes or kit movements
- Answering internal and external calls relating to plant

Requirements:
- Previous Hire Desk Controller experience
- Ability to work at a fast pace and under pressure
- Strong computer skills
- Excellent attention to detail, communication skills, able to use own initiative
