Facilities Helpdesk Administrator - Glasgow up to £26,500

CBW has an exciting opportunity to work for an established FM service provider located in Glasgow. The successful candidate will have a proven track record in Facilities Management, particularly in an administration or helpdesk role. Your duties will include managing all aspects of helpdesk operations, daily administration tasks, working closely with the Helpdesk Manager to chase documentation and invoices, and handling calls and emails. Key Duties & Responsibilities:

  1. Manage all aspects of contract support and helpdesk duties, including planning works.
  2. Receive and return phone calls to support the facilities function, ensuring professionalism.
  3. Check and maintain the FM Helpdesk inbox.
  4. Schedule reactive and planned maintenance call-outs.
  5. Review received jobs and allocate tasks to engineers accordingly.
  6. Process purchase orders and invoices, and input data related to maintenance visits.
  7. Support Office & Contract Managers in administrative tasks and departmental objectives.
  8. Address queries as they arise.
  9. Provide general administrative support.
  10. Raise corrective maintenance tasks following PPM completed tasks.
  11. Organize daily work to ensure key tasks are fulfilled.
  12. Maintain departmental administrative housekeeping.
  13. Assist with the procurement process, ensuring data accuracy and effective communication.

Requirements:

  • Experience in Facilities & Maintenance Helpdesk is preferred.
  • Excellent and professional telephone manner.
  • Strong customer service skills.
  • Effective time management and ability to prioritize tasks.
  • Ability to work under pressure and meet deadlines.
  • Computer literacy.
  • Ability to work collaboratively within a team.
  • Adherence to health and safety policies.
  • Positive attitude and determination to succeed.
