Job description

We are looking for someone to join our friendly team of clinicians and administrative staff. Our patients often comment that we are still the "old family practice"; we have a great team and wonderful patients who appreciate our caring work.

Main duties of the job
  1. Providing support to patients requesting face-to-face appointments, telephone consultations, or general inquiries.
  2. Booking appointments via telephone, in person, or online requests.
  3. Recalling patients for chronic disease management and follow-up appointments.
  4. Signposting patients to other services, e.g., pharmacies, online services.
About us

Located in an old town house, our practice has been established as a GP surgery for many years. Despite changes to the building, it remains a calm and pleasant environment for both patients and staff.

Our practice is run by three partners and supported by three salaried GPs. The nursing team includes five members: nurses, a healthcare assistant, and a phlebotomist.

Administration is primarily handled by part-time staff, with the working hours from 7:30 a.m. to 7 p.m.

We also have an attached Musculoskeletal consultant.

Job responsibilities

The core responsibilities of the care coordinator include, but are not limited to:

  1. Maintaining and monitoring the appointment system.
  2. Processing personal, telephone, and online appointment requests.
  3. Answering incoming calls and directing them appropriately.
  4. Signposting patients to the correct services, e.g., pharmacists, MSK, online services.
  5. Responding to requests from patients, team members, and external agencies.
  6. Entering data into the EMIS Web clinical system and Docman.
  7. Photocopying and scanning documentation as needed.
  8. Registering new and temporary patients accurately.
  9. Handling online access and proxy requests.
  10. Managing requests for information, such as SARs, insurance, solicitors' letters, and DVLA forms.
  11. Handling queries efficiently.
  12. Maintaining a clean and organized workspace.
  13. Monitoring and maintaining the reception area and notice boards.
  14. Supporting clinical staff with general tasks.
  15. Managing repeat prescriptions accurately and efficiently.
Person Specification
Experience
  • Experience working in a team.
  • Experience in a GP practice.
  • Experience in primary care.
Qualifications
  • GCSE grade A to C in English.
  • NVQ level 2 in Health & Social Care.
  • Level 2 Business Studies qualification.
