Role Overview

We are looking for a Head of Transaction Services to join our fantastic Finance department. The head of transactional services will work ensure the delivery of an efficient and effective accounts payable, rent processing, rent setting and service charge functions for the group.

Manage the Accounts payable function, Rents setting team, the Income and Service charge team ensuring the policies pertaining to these departments are followed, controls are operated and improved, and that an excellent level of service is provided across the group to all customers whether internal or external.

Key responsibilities:

Working as part of a team on many different projects, including:

  • Responsible for the annual service charge estimates, actuals, invoices and statements process for all the Group’s residents, leaseholders and commercial customers
  • Responsible for the annual rent increase process, ensuring compliance with legislation, regulation, policy and best practice. Proactive manage the process of rent setting and service charge setting for new and existing customers
  • Ensure that the Rent and Service charge team partner with budget holders and managing agents to provide excellent customer focused professional service to tenants and leaseholders
  • Partner with the rest of the Group to support effective business processes for the recording, and reporting of rent and service charge information to enable strategic decision making
  • Liaise with the Property team (Development and Technical Repairs Teams) in relation to new build development programmes to ensure that rent and service charges are charged appropriately to residents and leaseholders
  • Manage all rent accounting and service charge functions, including write offs, allocation of payments
  • Manage the annual service charge internal and external audit processes, ensuring recommendations are implemented. Maintain robust controls and processes to ensure substantial reassurance from the internal auditors
  • Responsible for reconciliations of rent and service charge accounts. Ensuring that they are routinely completed on a weekly/monthly basis
  • Manage the accounts payable function, ensuring purchase order compliance is maintained by the business
  • Manage the accounts payable function to ensure that invoices are paid on time by ensuring the business processes are robust and fit for purpose to enable fast payment of invoices as they move through the accounts payable system
  • Manage the financial control environment to ensure the accounts payable purchase to pay software is maintained in accordance with the latest delegated authority limits
  • Ensure compliance with all regulatory matters related to 3rd party payments, rent setting and service charge setting.

More about you

  • Qualified accountant – ACA, ACCA, CIMA or similar
  • Previous significant experience in a senior role for a housing association working with rent and service charge setting
  • Demonstrable finance experience within a multi-company environment working with large volumes of transactional data
  • Comfortable analysing and assessing data to draw insights, assess performance and identity required interventions
  • Significant experience of service delivery to non-finance personnel at a senior level
  • Excellent knowledge of Microsoft Excel
