Job Description:

We are currently recruiting for a National Financial Planning practice that is looking for a Head of Administration (Southern Region). The candidate will be based in Bath, Essex, Kings Lynn, London, or Reading. The ideal candidate will have extensive experience managing operations teams and Senior IFA Administrators across multiple locations within the financial services sector. Knowledge of Intelligent Office is important.

Purpose

The main focus of this role, as a member of the management team of the operations division, is to lead and develop teams of Team Leaders, Senior IFA Administrators, IFA Administrators, and Office Support staff across the company's offices in the South. You will collaborate closely with the Head of Administration for Midlands/North, the Head of Paraplanning, and the Group Operations Director to develop and deliver efficient operations support, ensuring an outstanding client experience and contributing to the company's vision of being the UK’s IFA of choice.

Responsibilities

  • Manage teams of Team Leaders, Senior IFA Administrators, IFA Administrators, and Office Support staff across southern offices.
  • Ensure delivery of high-quality administration support services for a range of financial planning products and services.
  • Provide operational expertise and serve as a point of escalation for complex administrative queries.
  • Develop training programs and supervise new employees within the IFA Administration team.
  • Collaborate with senior management to establish KPIs and measure staff performance.
  • Lead change management initiatives affecting the IFA Administration function.
  • Work with Compliance to ensure adherence to procedures and FCA regulations.
  • Deputise for the Group Operations Director as needed.
  • Contribute to operational and strategic updates for stakeholders and senior management.
  • Stay informed about technological developments relevant to operations and work with IT to implement efficiencies.
  • Monitor budgets and recommend cost-saving strategies.
  • Coordinate with HR to ensure adequate staffing levels.
  • Work with Paraplanning and Adviser Relationship Managers to improve service delivery.
  • Develop feedback channels for continuous improvement.
  • Integrate new business and staff following acquisitions.
  • Provide strategic input on resource allocation and company proposition development.

Experience and core skills

  • Strategic operational experience, preferably in financial services.
  • At least 5 years of managing teams across multiple sites.
  • Experience with Intelligent Office, including data migrations and management.
  • Strong project management skills.
  • Ability to train and coach effectively.
  • Proficiency in Excel, Visio, and Intelligent Office.
  • Excellent communication and interpersonal skills.
  • Strong organizational and project management abilities.
  • Customer-focused with a commercial mindset.
  • Self-motivated, positive, and enthusiastic.
  • Proven success in target-driven, high-pressure environments.
  • Knowledge of back-office and platform systems.
