Job Description:

We are currently recruiting for a National Financial Planning practice that is looking for a Head of Administration (Southern Region). The candidate will be based in Bath, Essex, Kings Lynn, London, or Reading. The ideal candidate will be highly experienced in managing operations teams/Senior IFAA’s across multiple locations within the financial services environment. Knowledge of Intelligent Office (IO) is important.

Purpose

Working as a member of the management team of the operations division, the main focus areas of this position are to lead and develop teams of Team Leaders, Senior IFA Administrators, IFA Administrators, and Office Support staff across the company’s offices in the South. You will work closely with the Head of Administration for Midlands/North, the Head of Paraplanning, and the Group Operations Director to develop and deliver efficient and effective operations support, ensuring an outstanding experience for clients and contributing to the company's vision of being the UK’s IFA of choice.

Responsibilities

  • Manage teams of Team Leaders, Senior IFA Administrators, IFA Administrators, and Office Support staff across southern offices.
  • Ensure delivery of first-class administration support services across financial planning products and services.
  • Provide operational expertise and handle escalations for complex administrative queries.
  • Develop training and supervise new employees in the IFA Administration function.
  • Collaborate with senior management to establish KPIs and measure staff performance.
  • Work with other managers to manage change involving the IFA Administration function.
  • Ensure compliance with company procedures and FCA regulations in cooperation with the Compliance team.
  • Deputise for the Group Operations Director as needed.
  • Design and deliver operational and strategic updates to stakeholders and senior management.
  • Keep abreast of technological developments relevant to operations and work with IT to implement efficiencies.
  • Monitor and manage operational budgets, recommending savings as appropriate.
  • Coordinate with HR to ensure sufficient resources across operational areas.
  • Work with Paraplanning and Adviser Relationship Managers to improve service delivery.
  • Develop feedback channels for continuous improvement.
  • Support integration of new staff and business following acquisitions.
  • Provide strategic input on resource alignment and company proposition development.

Experience and core skills

  • Strategic experience in operational environments, preferably within financial services.
  • At least 5 years of managing teams across multiple sites.
  • Experience with Intelligent Office, including data migration and management.
  • Proficiency in project management.
  • Ability to train and coach others effectively.
  • Proficiency in business planning software like Excel, Visio, and Intelligent Office.
  • Strong interpersonal and communication skills.
  • Excellent organizational and project management skills.
  • Customer-oriented with a commercial mindset.
  • Self-motivated, positive, enthusiastic.
  • Proven success in meeting targets in high-pressure environments.
  • Good knowledge of back-office and platform systems.
