The National Archives secures the future of the Public Record, preserving it for the nation and making it accessible for future generations of policy makers, researchers, students and citizens. Our collection spans almost 1000 years and is one of the largest in the world, containing over 11 million records from medieval parchment to modern papers, digital files, datasets, websites, tweets, and computer code. The National Archives is the archive of UK government and provides leadership to the wider UK archives sector.
Based within the Government Services and Strategic Engagement department, the Strategic Compliance team provides advice, guidance, and services to help government departments fulfil their obligations under the Public Records Act. We advise departments on their legal responsibilities, offer guidance on records management, and support them through the eventual disposition of their public records – including transferring records of enduring historical value to The National Archives in a timely way. This ensures that that vital public records survive for the benefit of the nation.
The Guidance Training and Events Adviser role will be responsible for supporting and ensuring guidance is up to date, researched, maintained, and fully accessible to a varied government audience promoting best practice in information management so that guidance is published in a transparent, efficient, and co-ordinated manner. This role will support the information management functions, of government ensuring that a complete, reliable record can be created, managed, appraised, selected and transferred for the benefit of future generations through continuous improvement of our published guidance and enabling the development and delivery of our training and events content.

This is a full time post. However, requests for part-time working, flexible working and job share will be considered, taking into account at all times the operational needs of the Department.
A combination of onsite and home working is available and applicants should be able to regularly travel to our Kew site for a minimum of 60% of their work time.

Job Description
This guidance role is key to supporting best practice in information management through continuous improvement of our published guidance and enabling the development and delivery of our training and events content. This role has 3 core areas of focus:
Firstly, this role will be responsible for the practical delivery of the content of our guidance program ensuring our published information management guidance is up to date, maintained, and fully accessible to a wide audience of differing needs enabling government departments, and Public Inquiries to fulfil their obligations under the Public Records Act and wider information rights legislation.
Secondly, the role will work with Head of Strategic Compliance across The National Archives and other external bodies to promote best practice in information management through developing clear and comprehensive guidance and training material for our guidance, training and events program.
Thirdly the role will provide research and practical administrative support to the Head of Strategic Compliance for The National Archives’ Guidance and training Panel so that guidance and training material is researched, developed, maintained and published in a transparent, efficient, and co-ordinated manner on The National Archives’ website and through a comprehensive training program.
Role and Responsibilities
- To support the delivery of a comprehensive and cohesive guidance program to enable Public Record Bodies and Public Inquiries to understand their statutory obligations under the Public Records Act 1958, Section 46 Code of Practice under Freedom of Information Legislation and the Inquiries Act and Rules. This will involve:
- Collaborating with colleagues across government who are subject experts to develop guidance, ensuring it is accurate, accessible, and inclusive.
- Copy editing guidance to ensure the content is clear, concise and conveys meaning in accordance with TNA internal brand guidelines
- Editing guidance currently hosted on our web pages in lengthy pdf documents to a more accessible and user-friendly format, mindful of inclusion and diversity needs
- Editing guidance currently hosted on our web pages in accordance brand guidelines and Crown Copyright guidelines
- Extensive use of Word, Google Analytics and Word Press software
- Maintaining accessibility to guidance web pages, fixing any broken links and continued analysis of content
- Develop user journeys which will inform the redesign of the guidance web pages
- Analysing and interpreting traffic to our published guidance on our web pages.
- Maintaining records of decisions made regarding the disposition of our guidance
- Create and maintain library of original documents of the guidance being hosted on our website
- To provide practical support to the Head of Strategic Compliance building upon our current guidance, training and events program to deliver understanding of best practice in the information management space. This will include:
- Working with subject specialists to develop guidance and training material, this will include copy editing materials and supporting the development and delivery of guidance and training material include, online, eLearning formats and face to face
- Manage and co-ordinating the practical administration of our government events online/in person as well as expectations of speakers and participants regarding individual needs in line with inclusivity and diversity.
- Analysing evaluation data to make evidence-based recommendations to support the continuous improvement of guidance and training offer
- Analysing guidance, training and events feedback and evaluation data to make evidence-based recommendations to support the continuous improvement of our guidance and training offer and next steps.
- Working in a highly methodical and organised way provide the research and practical administrative support to the Head of Strategic Compliance for The National Archives’ Guidance and Training Panel. This will include:
- Maintain and develop new guidance and training material for both TNA and wider government handbooks/web content for use with Inquiries and wider public record bodies
- Collaborate with content owners, auditing the guidance hosted on TNA web page.
- Contributing to team understanding of what guidance is visible to our audiences, what guidance needs refreshing in terms statutory guidance - guidance intended to set out the Keeper’s responsibilities under the Public Records Act, guiding principles – guidance that supports understanding of how statutory guidance can be implemented i.e. (How, what, why)
- Contributing to the development of interactive training material to support sharing and exploring new practices, particularly where it includes the use of new and emerging technologies.
- Be part of the team responsible for the practical day to day delivery of the online service desk which is a front-line service responding to incoming requests for advice and guidance from our government audience.
- Contribute to the work of the team as a whole.
- Engage with a wide group of stakeholders from sponsoring departments and across TNA internal teams.

Essential
- Excellent oral and written communication skills including experience of conveying unfamiliar ideas in accessible terms in meetings, presentations, documentation and written guidance and advice
- Demonstrable experience of contributing to the delivery of inclusive and accessible guidance, training, program to an audience of differing needs and with a focus on behavioral and cultural change outcomes.
