Job description

We are recruiting a Gust Services Ambassador to join our Rapport team, based at two of our client’s offices near Piccadilly Circus andOxford Street. Our client is an investment management firm, providing financial services with a big emphasis on sustainable investment options.

The position holder will play a crucial part in providing excellent service to clients and customers, ensuring highest standard for the Front of House Guest Services, Call Services, and on-site Office Services coordination.

Type of contract: Full-time, Permanent

Hours: 40 per week (Monday-Friday; shift rota basis between 7:30 AM and 6:30 PM)

Main responsibilities

  • Acting as the main point of contact on the client floor welcoming internal and external guests and looking after them for the duration of their visit
  • Supporting Executive Assistants to ensure smooth day-to-day office operations (i.e., maintenance requests, facilities vendor visits, building engineer site visits, etc.)
  • Welcoming guests at the reception and escorting them to their meeting rooms or required destinations within the building
  • Handling switchboard calls in accordance with the firm’s standards
  • Proactively managing the office space and meeting rooms are impeccable, and equipment is in working order
  • Handling hospitality duties and relating catering requirements (i.e., collecting breakfast, ordering lunch, setting up kitchens, maintaining coffee/milk machines)
  • Communicating effectively with other departments and service providers, creating a “one team” approach (i.e., housekeeping, security, maintenance)
  • Maintaining stationery/supply levels, printer, and post room management
  • Providing social events assistance (i.e., bi-weekly in-house lunches)
  • Booking cars/taxis when required
  • Ensuring the company service and H&S standards are adhered to and being part of the first aid & fire warden first responder teams

  • Be able to create immediate rapport with key stakeholders, and work independently in a fast-paced environment with a varied workload
