A dynamic opportunity has arisen at a leading company for an operational support role in London. This position involves managing client relationships, overseeing daily operations, and providing IT and digital platform support. The ideal candidate is organized, fluent in French and English, and possesses a service-oriented mindset.
Community and Client Management: Manage and maintain daily operations including front-of-house reception, client meet and greet (both in-person and remote), communication, support, and upkeep of common areas and supplies (coffee lounge, meeting rooms, offices, etc.). Oversee meeting schedules and housekeeping.
Client Onboarding and Service: Set up new clients' offices, workstations, and communication systems. Provide orientation with health, safety, and fire safety information, along with an introductory pack. Offer out-of-hours support and troubleshooting as needed.
Reservations and Broker Liaison: Handle booking inquiries from brokers and clients, conduct viewings, maintain occupancy schedules, and respond to reviews and feedback to foster positive ongoing relationships.
Digital Platform Administration: Manage and update reservation systems, inquiries, websites, listings, and social media content. Oversee in-house IT, communications, and software systems, liaising with external IT consultants. Monitor and optimize online presence and SEO.
Supplies Procurement: Coordinate with suppliers and contractors, monitor inventory levels, manage supplies for offices, building, and retreats, control costs, verify invoices, and maintain records to ensure timely procurement and resource efficiency.
Facilities Upkeep: Organize and maintain facilities and equipment, manage storage and stock, and ensure the offices and building are kept to high standards and functioning order. Identify and coordinate repairs or upgrades when necessary.
Team and Events Support: Support team operations both on and off-site, including logistics, scheduling, project resourcing, events, hosting, and managing showrooms and studios across the group.
Location: London
Contract: Permanent, full-time, with specified dates and working hours.
