Job Responsibility:

We have created an exciting new position as Group Business Support to provide office management, administration and sales support across the group based at our Ashford office and working alongside our award-winning team.

This role is critical to the continued seamless support to all departments within the business and requires a high energy candidate with a can-do attitude who likes working in a close-knit team in a fast-paced environment.

IndEx Enclosures has over 70 years of fabrication, design and sales experience and our IndEx team are unique in the supply of hazardous and industrial area enclosures. Along with our state-of-the-art tooling, machinery, and rapid customisation software we provide enclosures with an unparalleled level of quality. This role will also provide support in its Group capacity to Pegasus Precision, who manufacture precision metal components and for UK manufacturers.

We work as a team in all scenarios, for each other and for the success of the company.

Working Hours: 40 hours per week from 8:30 to 4:30pm Monday to Friday with a half hour paid break each day.

Annual Leave: 25 Days plus Bank Holidays

Salary:£23,000

Main Responsibilities and attributes of the position

The duties and responsibilities of the role are as follows:

  • Support the Group Business Manager with the following office management and administration tasks:
  • Chasing of debtors.
  • Ordering and stock control of office consumables such as stationary, workwear, office equipment, Tea, coffee, milk, and management lunches.
  • Diary management for management and office team, including arranging meetings and ensuring all visitors are logged into Progress Plus.
  • Assist where needed with the note taking of management meetings.
  • Answering main line switchboard for both IndEx Enclosures and Pegasus Precision.
  • H&S support including carrying out the weekly fire test, monthly and annual tests, including ensuring all required checks and assessments are carried out on their anniversary.
  • Attending the monthly H&S audit meetings and actioning all required tasks.
  • Supplier and contract management for services such as bins, electrics, project management works, landlord, H&S and obtaining the most cost-effective quotes for new services needed.
  • Assisting with the insurance renewals for commercial and vehicle and all MOT needs.
  • Assisting with the finance support in the office, such as scanning all credit card receipts, chasing invoices, raising and receipting PO's, PI matching.
  • Managing all incoming Delivery Notes such as scanning, filing, and archiving.
  • Assist with HR administration.
  • Book travel and hotels for the Group Operations Director and Operations Manager when required.
  • Ensuring the meeting room and office is kept clean and tidy and fully replenished at all times.

Support the Sales department with the following tasks:

  • Sales order processing (contract review).
  • Procurement of steel and control gear.
  • Assist with NCR paperwork when applicable.
  • Assistance in monitoring sales and production mailbox.

Education/Qualifications/Experience

To make an impact and be successful within this role the candidate should be able to demonstrate examples of the following:

  • Excellent IT Proficiency (training will be provided on company specific systems).
  • A good communicator, great phone manner and have fantastic relationship building skills.
  • Self-starter to make things happen: reliable, adaptable and have excellent organisation skills.
  • Able to use initiative and independently solve problems.
  • High level of accuracy and have good attention to detail.
  • Good knowledge of Microsoft office.
  • Previous office-based administration and customer facing work experience is essential.
  • Own transportation.
