Covent Garden Medical Centre is seeking a Receptionist & Administrator to join our award-winning practice. As part of our friendly and professional team, the successful candidate will play an important role in supporting the delivery of high standards of patient care.
Key Responsibilities
- Answering telephone enquiries promptly in a courteous and professional manner.
- Maintaining strict confidentiality regarding patients and staff.
- Booking, amending, and cancelling patient appointments using System One (practice clinical software).
- Supporting the smooth running of the practice by monitoring demands and workflow throughout the day.
- Managing the practice email inbox efficiently.
- Ensuring the reception and waiting areas are clean, tidy, and welcoming at all times.
- Building and maintaining good relationships with internal and external customers.
Training and ongoing support will be provided for the right candidate.

We are a small, dynamic practice located five minutes from Covent Garden Piazza and Covent Garden Underground Station. Our patient list is growing and currently stands at around 5,300. We are a diverse and friendly team, with many of us speaking a second language. Job Responsibilities (GP Receptionist duties)
As a GP Receptionist you will provide a professional and patient-focused service to GPs and all patients attending the practice.
- Dealing with patient queries
- Booking, cancelling and amending appointments on SystmOne
- Monitoring the flow of patients into the waiting room and ensuring the appointment system reflects arrivals
- Using judgement to see patients with no prior appointment but needing urgent consultation in a logical, non-disruptive manner
- Explaining Practice arrangements and formal requirements to new patients and those seeking temporary cover
- Answering the telephone promptly and conveying messages in a timely manner
- Maintaining a log of telephone messages
- Sorting mail and posting letters
- Recording admin-related events in SystmOne
- Scanning patient correspondence into the patient record in SystmOne
- Charging patients for private work and recording charges on their records
- Recording requests for letters and form-tracking
- Processing repeat prescriptions in a timely manner and monitoring for medication reviews and health checks
- Alerting the Practice Manager or Senior Partner to complaints or potential problems
- Monitoring GP-Links for registration-related data queries
- Opening and closing the Practice according to procedures
- Meeting targets set by the Practice Manager
- Other ad hoc tasks as required
Qualifications
Essential
- At least 1-2 years of Receptionist / Customer Service / Administration experience in a similar environment
- Grade A-C or 5-9 in GCSE English and Maths
- Interest in working with people and in service of patients
- Keen eye for detail
- Ability to multitask
- Ability to work independently and be self-motivated
- Interpersonal Skills
- Ability to work under pressure
Desirable
- Experience in a GP Practice or primary care
- Training will be provided where needed
Knowledge and Skills
Essential
- Good interpersonal and communication skills
- Good IT skills
- Good telephone manner
Desirable
- Knowledge of using the System One clinical system (TPP System One) is an advantage
