Job description
Overview

GP Reception Site Co-ordinator based at Robin Lane Health & Wellbeing Centre. Part-time or full-time Monday - Friday; must be able to start at 8am and finish at 18:30 on some days. This advert may close early should the right candidate be found.

Responsibilities
  • Supporting your team to deliver and fulfil patient needs with continued on the job training and development of your team
  • Ensure the smooth running of the reception area and surgery so that it is welcoming, friendly and clean
  • Act as the first point of contact for all clinicians and other surgery staff, regarding any concern or issue, resolving where possible and/or feeding up the reporting line
  • Take the lead on resolving H&S and maintenance issues and liaising with contractors and ensuring your line manager is kept up to date
  • Managing people: staffing and service levels (holiday, overtime, absence); regular 1-1 meetings and performance reviews; mentoring and motivating the team
  • Organisational duties: ensure posters and patient information leaflets are replenished; ensure the practice opens/closes on time; lead on inductions for new staff/locums/trainees; manage GP rotas and leave approvals; coordinate best use of clinical rooms; oversee patient feedback processes
  • Maintain premises and safety: lead on H&S and maintenance issues; ensure premises are clean, secure and fire-protected; arrange maintenance contracts; monitor servicing/repairs; annual checks (fire alarm, Legionella); manage stationery and procurement; maintain relevant records
  • Support the Patient Experience framework and provide information for assurance reporting
  • Encourage service improvements and keep the practice website updated with necessary changes
Requirements
  • Experience: Essential – Previous experience of supervising people in a fast-paced service environment
  • Desirable – Working knowledge of medical terminology
  • Desirable – Experience in maintaining maintenance, repairs and servicing programs
  • Skills: ability to manage difficult conversations with patients and colleagues; strong communication skills; ability to work under pressure; ability to build strong working relationships within the team and with external partners
