Job description

Woodlands Medical Practice is a friendly, 5 GP practice in Sutton-in-Ashfield with approximately 11,500 patients. We obtained an Outstanding rating with the CQC and are committed to providing patient-centred care in a happy, supportive, and well-organised working environment.

An exciting opportunity has arisen for a Prescription Clerk/Receptionist to join our busy Administration team. The ideal candidate will be reliable, flexible, and have a can-do attitude. They should be highly motivated, able to work under pressure to meet deadlines, and demonstrate exceptional customer service skills. The ability to prioritise workloads and communicate effectively with all staff groups is essential. Excellent keyboard skills, accurate data entry, and a keen eye for detail are required. A medical background is preferable but not essential, as full training will be provided.

Working pattern

Working over a 3-week rota: week 1 as a Prescription Clerk (25 hours, 8:30 am - 1:30 pm), and weeks 2 and 3 as part of the reception team (25 hours per week, starting at 8 am or ending at 6:30 pm). The team covers this service Monday to Friday, with evenings and Saturdays on a rota basis.

Main duties of the job
  • Processing high volumes of repeat prescriptions and handling patient queries promptly in a busy environment, via printed slips, paper requests, online requests, and emails.
  • Data entry into Patient records using the clinical system, SystmOne.
  • Handling prescription queries face-to-face and over the phone from patients, family, carers, district nurses, pharmacies, and hospitals.
  • Updating medication lists from clinic letters or hospital discharge summaries.
  • Checking when medications are due for review and scheduling reviews if appropriate.
  • Making appointments, signposting patients, giving results, booking ambulance transport, handling home visit requests, and liaising with other providers.
  • Registering new patients and temporary residents, greeting and directing visitors, managing emergency prescriptions, collecting payments for non-NHS services, and dealing with general enquiries and complaints.
