Governance Administrative Assistant

Academic & Registry Services is seeking a highly motivated and organised individual to join our Academic Services team as an Administrative Assistant. This is a pivotal role in supporting the delivery of essential academic services across the University, contributing directly to a positive experience for students, staff, and external stakeholders.

About the Role

As the first point of contact for Academic Services, you will provide high-quality administrative and customer support across a range of activities, including academic portfolio processes, quality assurance, regulatory casework, governance, and enhancement initiatives.

You will be responsible for organising meetings, preparing agendas, servicing committees, managing correspondence, maintaining records and databases, and supporting training events. This role requires excellent attention to detail, confident communication skills, and the ability to handle sensitive information with professionalism and discretion.

Key Responsibilities
  • Respond to routine queries from staff, students, and external stakeholders.
  • Provide advice on academic regulatory procedures.
  • Organise and maintain accessible records and documentation.
  • Support committees through agenda setting, minuting and follow-up actions.
  • Coordinate administrative processes, including purchase orders, travel arrangements, and event support.
  • Input and extract data from internal systems (e.g. Microsoft 365, SharePoint).
  • Work collaboratively across the department and wider University community.

About You

We are looking for someone who is:
  • Educated to A-level standard or equivalent.
  • Experienced in an administrative or clerical role, ideally within a large or complex organisation.
  • Proficient in Microsoft Office 365 and confident with digital tools and databases.
  • Skilled in communication and relationship building across a wide range of audiences.
  • Highly organised, with the ability to manage competing priorities and work independently.
