This position is office-based in one of the following locations: Dublin, London, Amsterdam, Berlin, Munich, Madrid, Barcelona, and New York.

As our Global Workplace Experience Lead, you will oversee and develop our workplace experience in all of our offices across Europe/US. You will play a critical role in fostering a vibrant workplace culture and building a strong sense of community within Personio. You will be creating an environment where employees feel valued, engaged, and connected to the organization's mission and values. The ideal candidate will be passionate about nurturing a positive workplace culture and driving initiatives that promote collaboration, inclusivity, and employee well-being.

Role Responsibilities: What you'll do

  1. Build the global strategy and comms plan on office culture and community with a variety of targeted initiatives and events according to business needs and local team needs. This would include measuring success and pivoting accordingly;
  2. Manage operational and capital projects, identifying and executing workplace improvements and sustainability initiatives;
  3. Plan, execute, and monitor various events globally, ensuring adherence to deadlines, budget, and quality standards and identify cost-saving opportunities and propose efficient resource allocation strategies;
  4. Create and implement change management strategies, project documentation, communications, and plans;
  5. Provide regular project updates, reports, and presentations to management and relevant stakeholders.

Operations & Stakeholder Management

  1. Oversee day-to-day office operations executed through including guest services, event & conference management, office spaces and peak management, facility maintenance, vendor relationship and occupational health, safety & security;
  2. Build and maintain key relationships with stakeholders across the organization and external partners, including local business leadership, Real Estate, Finance, IT, Health & Safety, and Security;
  3. Collaborate with cross-functional teams to align workplace initiatives with company objectives.

Coaching and Team Leadership

  1. Manage and develop a team of Workplace Coordinators across all Personio locations;
  2. Recruit, onboard, coach team members; develop career framework development, and manage performance reviews;
  3. Manage Facility Management partners on operational and account management levels, including KPI and budget management;
  4. Drive team engagement and productivity through fostering a culture of collaboration and Personio values.

Role Requirements: What you need to succeed

  1. Minimum 7 years of professional experience in an Office Management, Workplace Experience, Community, or Event Management role, with demonstrated expertise in building/managing international offices across several locations and time zones.
  2. Minimum 3 years of people/team leadership experience in a dynamic environment. This includes being in charge of recruiting, onboarding, coaching, developing career frameworks and performance management.
  3. Demonstrated expertise in office space planning, as well as driving office engagement through developing KPIs and strategic projects.
  4. Strong understanding of facilities operations, maintenance, office operations, and vendor management processes.
  5. Flexibility, initiative, adaptability, and strong problem-solving skills.
  6. Detail-oriented with strong organizational and multitasking abilities.
  7. Ability to adapt to changing priorities and work effectively in a fast-paced environment, while driving workplace team engagement and productivity.
