Job Description

As an Event Specialist, you will support the IFS Global Events team in the planning, coordination, and successful delivery of virtual, hybrid, and in-person events. You will be responsible for administrative tasks, vendor coordination, and ensuring the seamless execution of event logistics. This role requires excellent organizational skills, attention to detail, and a proactive approach to problem-solving in a fast-paced environment.

Event Delivery Support
  • Manage onsite logistics, including staffing support for hosts and workers.
  • Act as the point of contact for agencies on tasks like travel, transfers, app management, and staffing logistics.
  • Schedule and coordinate photographers, videographers, and other creative assets.
  • Track project timelines and tasks to ensure seamless event execution.
Event-Specific Focus
  • Provide staffing and operational support for flagship events including exhibitor management.
  • Maintain and align the global events calendar and events web page.
  • Assist with special initiatives like invite list management and sponsorship package delivery.
Logistics and Administration
  • Manage purchase orders (PO) and invoice processing for events.
  • Track agency deliverables and actions to ensure timely execution.
  • Oversee registration processes, including ticket sales reporting and discount code management.
  • Maintain accurate reporting through tools such as exhibitor portals and registration platforms.
Stakeholder and Vendor Coordination
  • Support stakeholder meetings, including regional coordinators, and ensure actionable project timelines.
  • Coordinate with vendors for event-specific needs, including merchandise, giveaways, and media production.
Branding and Messaging
  • Collaborate with the team to ensure consistent branding and alignment across all events.
  • Adhere to standardized branding toolkits and guidelines to maintain a cohesive global events strategy.
Qualifications

Demonstrates exceptional ability to multitask and prioritize in fast-paced environments, supported by strong organizational and project management skills to ensure timely delivery of tasks. Possesses a collaborative mindset and excellent communication skills, enabling effective teamwork across global teams. Maintains a high attention to detail and a steadfast commitment to delivering quality results.

Essential:
  • Minimum 2+ years in Event Marketing, Hospitality, or a similar role.
  • Experience in managing administrative and logistical tasks for corporate events.
  • Proficiency in MS Office tools, especially Excel and PowerPoint.
  • Strong attention to detail, time management, and organizational skills.
  • Excellent communication and teamwork abilities.
  • Flexibility to work across global time zones and travel as required.
Desirable:
  • Experience with event platforms like Cvent or similar tools.
