Job summary

Indra UK & Ireland is seeking a General Services & Facilities Manager to lead facilities operations across London sites, including Hanover Square and Redhill Surrey. The role focuses on safe, efficient workplace management and continuous improvement in a growing business environment.

Qualifications

Job Purpose

The General Services & Facilities Manager is responsible for the effective management, maintenance, safety, and continuous improvement of the company's facilities and workplace environment. This is a newly created role as we continue to grow our operations within the UK & Ireland working closely with the global facilities team.

The role ensures that all building operations, contractor services, compliance requirements, and workplace support functions are delivered to the highest standards while aligning with business objectives.

The postholder will lead facilities operations, oversee external service providers, manage budgets and expenditure, support office transformation projects, and create a safe, efficient, and positive working environment for employees and visitors.

Office based will be in Hanover Square with regular travel between sites across London with the biggest site being in Redhill Surrey.

Key Responsibilities
Facilities Management & Operations
  • Lead the day-to-day management of facilities, building services, and general office operations.
  • Ensure the highest standards of cleaning, maintenance, security, and workplace presentation are maintained at all times.
  • Manage and monitor third-party contractors, suppliers, and service providers, ensuring contractual obligations and service level agreements (SLAs) are achieved.
  • Conduct regular inspections of offices, communal areas, car parks, storage facilities, and waste management areas to identify maintenance and operational requirements.
  • Coordinate preventative and corrective maintenance activities to minimise disruption to business operations.
  • Support office refurbishment, renovation, and workplace improvement projects, working closely with internal stakeholders and external vendors.
Health, Safety & Compliance
  • Ensure compliance with all relevant Health & Safety legislation, regulations, and company policies.
  • Conduct and review risk assessments, ensuring risks are identified, mitigated, and appropriately monitored.
  • Investigate and report incidents, hazards, and non-compliance issues, implementing corrective actions where necessary.
  • Maintain facilities-related compliance records, inspections, certifications, and statutory documentation.
  • Promote a positive health, safety, and wellbeing culture across the organisation.
Vendor & Contractor Management
  • Develop and maintain strong working relationships with contractors, service providers, landlords, and key stakeholders.
  • Manage contractor performance, ensuring quality, compliance, and value for money.
  • Oversee procurement activities relating to facilities services and operational requirements.
  • Coordinate contractor access, permits to work, and health & safety compliance.
Financial Management
  • Support the preparation and monitoring of facilities budgets.
  • Analyse expenditure and identify opportunities for cost control and operational efficiencies.
  • Create purchase orders, process invoices, and ensure timely approval and payment of facilities-related costs.
  • Support supplier negotiations and contract renewals to achieve best value.
Workplace Experience & Business Support
  • Deliver a high-quality workplace experience that supports employee engagement, productivity, and wellbeing.
  • Provide operational support for company events, meetings, conferences, and visitor management.
  • Act as a key point of contact for facilities-related enquiries and service requests.
  • Ensure facilities services are aligned with business needs and organisational growth objectives.
Leadership & Stakeholder Management
  • Provide guidance and expertise on facilities management best practices.
  • Foster collaborative relationships across departments and with external partners.
  • Promote company values and contribute to a positive workplace culture.
  • Support the development and implementation of facilities strategies and continuous improvement initiatives.
Skills, Experience & Qualifications
Essential
  • Minimum 3 years' experience in Facilities Management, General Services, Workplace Management, or a similar role.
  • Proven experience managing third-party contractors, suppliers, and facilities service providers.
  • IOSH Managing Safely, IOSH Working Safely, or equivalent Health & Safety qualification.
  • Strong understanding of facilities operations, compliance, maintenance, and health & safety requirements.
  • Experience managing budgets, purchase orders, invoices, and cost control activities.
  • Excellent communication and interpersonal skills with the ability to build effective relationships at all levels.
  • Strong organisational and problem-solving skills with the ability to manage multiple priorities.
  • Proficient in Microsoft Office applications, including Excel, PowerPoint, Outlook, and Word.
  • Customer-focused approach with a commitment to service excellence.
Desirable
  • 18th Edition Electrical Qualification.
  • NEBOSH General Certificate or equivalent Health & Safety qualification.
  • Experience managing office refurbishment, relocation, or workplace transformation projects.
  • Knowledge of building management systems (BMS) and facilities management software.
  • Full UK Driving Licence.
