Overview

Due to the retirement of our Practice Manager, we are looking for an enthusiastic, conscientious, open and down-to-earth Manager with NHS experience to work with our young dynamic team. The ideal candidate would have experience in a managerial role within primary care and be passionate about good patient care. The candidate should have a demonstrable background in business, people management, patient services, finance and strategic planning with the ability to motivate the team, ensure business efficiency and provide excellent financial performance. We have ambitious plans and are looking for someone to enhance our team on that journey.

Responsibilities
  • Overseeing the day-to-day operations of the practice.
  • Functional management of all clinical and administrative staff.
  • Work with the Partners on strategic planning for the Practice.
  • Promote, monitor and document performance and quality outcome targets within the practice (including QOF), using IT systems and software.
  • Liaise with the Practice\'s professional advisors (accountants and legal advisors).
  • Manage Partnership changes including retirements and new appointments.
  • Manage matters of CQC registration in conjunction with the designated Lead Partner.
  • Act as the formal representative of the Practice as required.
  • Establish, review and regularly update Job Descriptions and Person Specifications.
  • Lead change and continuous improvement initiatives.
  • Coordinate the review and updating of all practice policies and procedures.
  • Develop, implement and embed an efficient business resilience plan (BRP).
  • Coordinate the practice diary and ensure meetings are scheduled appropriately.
  • Produce quarterly Practice newsletters.
  • Manage the Patient Participation Group and all complaints effectively.
  • Ensure compliance with legislation and address disciplinary issues accordingly.
  • Manage premises and contracts for services (e.g., cleaning, gardening).
  • Be responsible for health and safety aspects such as risk assessments and mandatory training.

Job Description

Job responsibilities

Provide leadership and management to enable the Practice to meet its aims and objectives within a profitable, efficient, safe and effective environment. Manage and coordinate all aspects of practice functionality, motivate and manage staff, and optimise efficiency. Lead the team in continuous Quality Improvement and promote Equality, Diversity & Inclusion, Safety, Health, Environment and Fire, Confidentiality, Collaborative Working, Service Delivery, Learning and Development; ensure compliance with HIW regulations.

The Practice Manager will ensure that physical and financial resources are managed for maximum effectiveness, including maximizing financial resources. The role includes:

  • Recognising financial risks and taking appropriate action.
  • Monitoring expenditure and identifying significant deviations from plan.
  • Planning and monitoring income and cash flow to maximise income and ensure funds are available.
  • Maximising income from NHS contracts, monitoring performance and ensuring timely claims and payments.
  • Planning and management of QOF workload; delegating duties; monitoring progress and reporting to Partners.
  • Ensuring fair allocation of NHS resources at a local level.
  • Presenting financial plans and reports to the partnership; ensuring financial records are up to date.
  • Submitting financial returns on time (HMRC, superannuation, CCG/CQRS/NHS England).
  • Liaising with accountants and ensuring year-end figures are presented.
  • Managing resources including premises, facilities and contracts; safeguarding against fraud.
  • Managing income and expenditure systems; maintaining liaison with the accountant.
  • Overseeing day-to-day operations and recruitment; updating Job Descriptions and Person Specifications.
  • Leading change and continuous improvement; reviewing policies and procedures; coordinating practice reports and the PDP.
  • Developing a BRP; managing IT and information governance; ensuring staff training.
  • Marketing the practice and producing quarterly newsletters; managing the Patient Participation Group and complaints.
  • Ensuring compliance with legislation and disciplinary procedures; health and safety; risk assessments and mandatory training.
  • Managing IT systems and external stakeholder relationships; deputising for partners at internal and external meetings.

Person Specification

Qualifications

Essential: Excellent organisational and team management skills; experience in administration; excellent written and verbal communication; strong IT skills (MS Office); resilience in a general practice environment. Desirable: Degree in healthcare or business; leadership/management qualification; AMSPAR qualification.
