Description of Role

Fine Art Commissions is seeking an experienced, highly organised and commercially minded Gallery Manager to oversee the day-to-day operation of our gallery in Ham, Wiltshire. This is a pivotal role requiring a genuine passion for fine art and client service. Working closely with our Director, the Gallery Manager will be responsible for ensuring the smooth running of the gallery, marketing and events, managing exhibitions, overseeing client relationships, supervising our administrative assistant and maintaining the highest standards of presentation throughout the gallery. Please note that the Director divides her time between London and Ham and is in Scotland, on average, five days per month.

The successful candidate will be confident managing multiple projects, possess excellent written and verbal communication skills, demonstrate discretion when handling confidential information, and have a proactive, solution-focused approach.

Key Responsibilities

Gallery Management

• Manage the daily operation of the gallery and ensure the highest professional standards are maintained.
• Supervise the Gallery Assistant and allocate daily tasks and responsibilities which will include many of the following points.
• Maintain efficient gallery systems, procedures and records.
• Manage gallery budgets and monitor operational expenditure where required.
• Ensure compliance with health and safety, security and insurance requirements and gallery policies.
• Welcome clients and visitors to the gallery.
• Respond promptly to client enquiries and commission requests.
• Prepare presentations and portfolios.
• Support the Director in securing commissions and artwork sales.
• Maintain the client database, ensuring accurate records of all communications and transactions.

Artist & Commission Management

• Act as the principal point of contact for represented artists and commissioned projects.
• Coordinate commission schedules between artists and clients.
• Monitor project progress and ensure deadlines are achieved.
• Prepare artist agreements and commission documentation where required.
• Maintain accurate records of artwork availability and pricing.

Exhibitions & Events

• Plan, organise and deliver exhibitions/events from concept through installation.
• Coordinate exhibition schedules and installation programmes.
• Liaise with artists, framers, installers, printers and external suppliers.
• Organise private views, gallery events and client dinners.
• Manage guest lists, invitations and event logistics.
• Support marketing initiatives associated with exhibitions.

Artwork Logistics

• Coordinate artwork transportation, shipping and installation.
• Liaise with specialist fine art shippers and couriers.
• Prepare customs and shipping documentation where applicable.
• Ensure all artworks are correctly catalogued, labelled and insured.
• Maintain accurate inventory records and location tracking.

Marketing & Communications

• Work with the Director to coordinate marketing campaigns and exhibition publicity.
• Assist with website updates and social media content.
• Coordinate press releases, exhibition catalogues and promotional material.
• Ensure consistent presentation of the Fine Art Commissions brand across all communications.
