Role Responsibilities
  1. Responsibility for the FoH function at Pascal Place
  2. Manage incoming calls into the business, transfer them to the appropriate person, message taking, and ensure callers are responded to appropriately
  3. Meet and greet all visitors into Pascal Place, ensure they are checked in, and provide relevant guidance and a warm welcome
  4. Organisation of entry passes and staff ID cards
  5. Issue visitor passes
  6. Ensure there is always sufficient stock of activated passes each day
  7. Manage Pascal Reception inbox, dealing with any enquiries efficiently and promptly
  8. Manage room schedules via Outlook Calendars, working with L&D to provide sufficient space for intake and training days
  9. Work closely with IT to ensure all equipment for desks and meeting rooms is fully functional and ready for use
  10. Carry out daily checks of office cleaning, report issues to the HOF, and add to the cleaners' Comment Book
  11. Manage on-site vending machines, monitor stock levels, and liaise with suppliers on refills
  12. Order buffet lunches and deliver to relevant meeting rooms
  13. Order milk and other food supplies weekly, three times a week
  14. Keep a log of all Reception purchases, manage, and carry out cost comparisons
  15. Raise Purchase Orders for items purchased (e.g., Amazon, EOTM, Flowers, Stationery, Contractors)
  16. Handle incoming and outgoing post, including frankings
  17. Bind and laminate documents as required
  18. Organise Christmas tree and decorations each December
  19. Become a Fire Warden and First Aider to provide emergency assistance at front of house
  20. Assist HOF and Facilities Coordinator with ad hoc tasks
  21. Provide cover for Bytes House during holidays and sickness
  22. Assist Bytes House FOH team with administration for regional offices (London, Portsmouth, etc.)
  23. Contribute to Facilities meetings, submitting suggestions for improvements
