Purpose of the role:

Due to ongoing growth, Affinia is hiring a part-time, dual-role position covering Reception duties and Business Support administration. Ideally, the candidate will work Monday, Thursday, and Friday, but we are also open to Wed-Fri (total 22.5 hours per week). The role is a job share with one day shared.

You will be the welcoming face for clients attending the Halstead office, supporting client-facing teams and colleagues. The role reports to the Business Support Team Lead and involves assisting with daily operations to ensure high-quality administrative and office support.

Accountabilities:

The role requires excellent organizational skills and a strong understanding of service delivery within a financial services organization to improve efficiency and client service.

  • Greeting clients and visitors, providing a first-class experience, and answering calls professionally.
  • Maintaining office presentation, including meeting rooms.
  • Managing office supplies such as stationery and refreshments.
  • Ensuring the office environment is well-maintained, coordinating repairs and supplies.
  • Handling incoming and outgoing post, including scanning, distributing, and saving documents.
  • Updating hard copy and electronic filing systems.
  • Managing monthly client requests and reminders.
  • Sending documents for electronic signatures.
  • Assisting with CS01 preparation and submissions.
  • Supporting Accounts & Tax Return submissions.
  • Organizing files and documents using our naming conventions.
  • Archiving electronic and physical documents.
  • Supporting the onboarding process for new clients.
