We are looking for a warm, organised and proactive individual to join our team!

St Thomas More Catholic Primary School, a vibrant and inclusive primary school at the heart of the community, is seeking a Front of House Administrative Assistant to be the welcoming face of our school. The working hours will be 08:30-15:30, Monday to Friday, term-time plus one week.

This is a key role that requires excellent interpersonal skills, strong organisation, and a genuine commitment to supporting children and families. As the first point of contact for visitors and callers, you will ensure everyone receives a warm and professional welcome, while keeping the front office running smoothly.

Job Purpose:

To provide a welcoming and efficient front-of-house presence for the school, ensuring a professional and friendly first point of contact for all visitors, parents, and staff. The Front of House Administrative Assistant will also undertake a range of administrative duties to support the effective running of the school office.

Key Responsibilities:Reception Duties:
  • Greet all visitors, parents, and students warmly and ensure they are signed in according to safeguarding procedures.

  • Answer incoming phone calls, direct calls appropriately, and take accurate messages.

  • Monitor access to the school premises and ensure all safeguarding protocols are followed.

Administrative Support:
  • Handle general correspondence, emails, and phone queries in a professional and timely manner.

  • Maintain and update school records, databases, and filing systems (digital and physical).

  • Assist with the preparation of newsletters, notices, and communication to parents.

  • Support staff with printing, copying, and document collation.

  • Manage the reception area to ensure it is tidy and welcoming at all times.

Pupil and Staff Support:
  • Administer basic first aid and medication to pupils, where qualified and required.

  • Assist with pupil attendance records, late arrivals, and early collections.

  • Support the coordination of school events, trips, and meetings.

General Duties:
  • Handle deliveries and incoming/outgoing post.

  • Maintain confidentiality and adhere to data protection guidelines.

  • Carry out any other duties commensurate with the role as directed by the line manager.

Person Specification:

Essential:

  • Excellent interpersonal and communication skills.

  • Strong organisational skills and attention to detail.

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Ability to work independently and as part of a team.

  • Commitment to safeguarding and promoting the welfare of children.

Desirable:

  • Previous experience in a school or customer-facing administrative role.

  • Knowledge of SIMS or other school management systems.

  • First Aid training.
