You will join an established and growing team to support the Head of Clinical Education, Postgraduate Administration Co-coordinator and Medical Education Faculty to provide high level and quality administrative support for foundation doctors.

From 1st July we have come together as a single organisation under the name Mersey & West Lancashire Teaching Hospitals NHS Trust.

Detailed job description and main responsibilities

KEY DUTIES

Administrative support

  • To determine the administration requirements for postgraduate medical doctors aligned to their rotations within the Trust in collaboration with the Postgraduate Admin Coordinator, Medical Education facilitator, Foundation Programme Director and Director of Medical Education
  • To provide administrative support to clinical education faculty for relevant clinical education activity.
  • To liaise with the Medical Education Facilitator and Postgraduate Admin Coordinator to organise postgraduate teaching programmes, room bookings, photocopying/printing of teaching materials and organising relevant clinical teachers for the delivery of appropriate teaching to foundation year 1 and 2 doctors.
  • To engage with and communicate relevant information about placements to relevant supervisors, departments and directorates and take action to make appropriate changes to any placements.
  • To liaise and maintain close links with administrative staff at NHSE regarding placements and support.
  • To organise and prepare induction arrangements for foundation doctors and JCFs to support their placements in the Trust.
  • To collaborate and communicate effectively with other stakeholders, healthcare professionals and members of the clinical education team to ensure delivery of relevant aspects of the clinical education teaching portfolio.
  • To prepare and assist in the setting up of seminar and skills rooms for relevant meetings by setting up of audio-visual equipment, provision of appropriate technical support to teachers.
  • To support the Postgraduate Admin Coordinator and Medical Education Facilitator with the NHSE Quality Visit.
  • To be a point of contact for foundation doctors on placement and to respond to any queries, determine appropriate action including referral or escalation as appropriate.
  • To support and implement effective pastoral care pathways and to communicate any pastoral issues with the post graduate team and escalation to NHSE if required.
  • To attend various education meetings and type up minutes in a timely manner

Operational

  • To communicate and collaborate with the DME, FPD, postgraduate education coordinator, Head of Clinical Education and Medical Education Facilitator to identify relevant workforce and capacity needs.
  • To store, use and maintain any equipment as per department or hospital guidelines.
  • To monitor and check that adequate stocks of equipment and consumables are available for training and to re-order where able or report to management if not.
  • To organise and facilitate appropriate meetings including face-to-face and via Microsoft Teams
  • To collaborate with the clinical education administration team to ensure relevant data is collated and input into appropriate databases.
  • Support initiatives to monitor trainee engagement and attendance whilst on placement and to provide reports as needed to stakeholders.
  • Work closely with departments across the organisation to negotiate and coordinate support for delivery of relevant training programmes.
  • To network and collaborate with other medical education administrators in the region and to attend relevant meetings to represent the department and Trust.
  • To work flexibly across sites if needed.
  • To provide reception cover as needed for the clinical education centre.
  • To assist with cover for colleagues during any absences.

Additional Responsibilities:

  • To observe the provisions of and adhere to all Trust policies and procedures.
  • To actively participate in the appraisal process to identify personal development needs.
  • To attend Trust Statutory and Mandatory training sessions as required and any other training courses relevant to the post.
  • To comply with relevant policies and procedures and health and safety at work legislation.
  • The post holder must be flexible in the duties performed and it is expected that similar duties, not specifically listed above, will be carried out as required and may be cross site. Any such variation will be agreed in advance between the post holder and their manager as part of the continuing process of management review and development.
