Job description

Why Join Us

We are seeking a proactive and organised FM Compliance Administrator to support our Facilities Management team by ensuring all compliance obligations are met across our sites. This is a great opportunity for someone with strong administrative and planning/scheduling skills with previous facilities experience.

You’ll be working up to 40 hours a week Monday to Friday, providing support administration and planning/scheduling support to the compliance team.

What You'll Be Doing

You’ll play an important role within our compliance team:

  • Manage and update internal CAFM systems
  • Monitor and manage email accounts
  • Liaise with sub-contractors to ensure services are booked in and received on time
  • Review sub-contractor and engineer compliance documentation
  • Upload and manage compliance documentation into E Logbook and CAFM system
  • Provide information for compliance reporting to Capita and Arcus Regional Management
  • Liaise with senior management to escalate issues when required
  • Awareness and understanding of contractual limits to allow maintenance remedial works to progress
  • Maintain trackers for financial and operational purposes
  • Monitor compliance planned maintenance works to ensure works are completed within SLA
  • Raise purchase orders for subcontractors and materials
  • Deal with compliance related queries
  • Management of overdue compliance task

What We're Looking For

Our ideal candidate would have:

  • GCSE/Scottish Standards in Maths and English
  • Experience within a Facilities Management and compliance environment (desirable)
  • Strong Excel skills with experience of other MS Office applications i.e. Word and Outlook
  • Experience of using CAFM systems (desirable)
  • Self-motivated, self-disciplined with strong time management skills
  • Ability to work under pressure in a fast-paced environment
  • Strong planning, analytical and organisational skills
  • Confidence to deal with stakeholders at all levels
  • Ability to prioritise and manage conflicting deadlines
  • A team player with strong interpersonal sills
  • Ability to communicate effectively with a wide range of people both verbally and in writing
  • High level of attention to detail with the confidence to question information

You’ll have exceptional attention to detail, be a great problem-solver, with exceptional interpersonal skills. You’ll have the ability to work collaboratively with all colleagues, contractors, and sub-contractors.
