Job description

The Opportunity

This role will be for a fixed period of 12 months. We are currently recruiting for a Float Legal Secretary to join our Administration Support Team based in our central Norwich Office (with occasional travel to our other offices when required). This role is an excellent opportunity to provide secretarial support to a wide number of our teams and work in a friendly, growing fast paced law firm.

The Role

The role will be primarily supporting the firms Dispute Resolution team, combined with one day per week assisting with our wider teams.

This role will see the successful candidate undertaking the following tasks:

  • Production of correspondence via BigHand digital dictation system and/or copy typing
  • Communicating with clients via telephone and by emails
  • Amending and creating documents as instructed by fee earners
  • Scanning/filing
  • Monitoring an internal mailbox and responding to internal queries promptly
  • Assisting fee earners with meeting preparation
  • Undertaking ID checks for the firm using our e-cos system
  • Providing reception cover, on occasion

Specific To Dispute Resolution

  • Dealing with enquiries from potential new clients
  • Onboarding (including identification for conflict/confidentiality and AML purposes) and opening files for the team
  • Communicating with clients on the telephone and by e-mail for the Dispute Resolution fee earners
  • Typing correspondence and attendance notes
  • Preparing court bundles for fee earners

General administrative tasks by way of case and financial management

The Candidate

We are seeking a candidate that has previous legal secretarial experience, excellent time management, organisational, IT and communication skills, accurate typing abilities (inclusive of dictations), a willingness to learn new skills and exceptional attention to detail. The successful candidate will be client facing and therefore will need to be able to communicate in a friendly, professional and confidential manner at all times. The role available will suit those with a positive and flexible approach and an ability to remain calm under pressure in order to project the image and ethos of the firm at all times.
