Overview:

This position will report directly to the Director of Logistics – Canada and will primarily support operations in the province of Quebec, as well as oversee maintenance activities for all non-fleet garage locations across Canada.

Responsibilities/Essential Functions:

  • Coordination with External Vendors: Collaborate with external vendors to arrange and oversee maintenance and repair services as needed in Quebec.
  • Maintenance Scheduling: Ensure timely scheduling of required maintenance tasks and ensure work orders are accurately entered into the Fleet Management program for all non-fleet garage locations throughout Canada.
  • Quality Assurance: Monitor and ensure all maintenance work is completed satisfactorily and on schedule. Maintain a calendar scheduling system by unit for all assigned locations and follow up to ensure completion.
  • Invoice Management: Review invoices for accuracy and submit payments for maintenance services when required, ensuring adherence to budgetary guidelines.
  • Record-Keeping: Maintain comprehensive records of all maintenance activities and associated costs within the Fleet Management database.
  • Reporting: Provide regular updates to the Director of Logistics regarding maintenance activities and expenses for assigned locations, including any notable issues or trends.
  • Facility Management: Ensure that all assigned Fleet departments maintain a clean and safe work environment, adhering to company standards and regulatory requirements.
  • Compliance Audits: Conduct local site fleet audits in Quebec to ensure compliance with company policies and regulatory standards. Develop and implement corrective action plans for any areas found to be non-compliant.
  • Training: Assist in training field fleet personnel on maintenance procedures and best practices when necessary.

Qualifications:

  • Previous experience in fleet management, maintenance, logistics, or a related field preferred.
  • Strong organizational and multitasking abilities with meticulous attention to detail.
  • Effective communication skills, both verbal and written, to interact with vendors and internal stakeholders.
  • Preferred understanding of Canadian Compliance and DOT regulations.
  • Proficiency in using Fleet Management software, Oracle, SAP, and TMS or similar software.
  • Knowledge of maintenance scheduling and budget management.
  • Ability to travel within Quebec and occasionally across Canada as needed.
  • Bilingual (English and French) is preferred.
