Job Description
Roles & Responsibilities:
- As a Fleet Administrator, you will provide consistent support to our internal and broader teams, nationwide.
- Work in our Key 2 Fleet Management System, a dynamic system encompassing all Fleet related tasks
- Lead effective communication with suppliers and third-party agents
- Managing compliance data
- Responsible ensuring the fleet data is accurate and updated regularly
- Managing Tolls, CC, ULEZ Accounts for the Group
- Update Key 2 Jaama with licence checks, parking charge notices, road fund licences and other relevant information.
- Administration of forms and associated Fleet documents
- Monitor the Group Incident Database and liaise with Insurers
- Monitor and keep Telematics systems updated and produce utilisation reports monthly/ weekly
- Support Fleet Manager with monthly reporting and other duties when required
- Expediently updating and processing Fleet invoices for payment and challenging non-compliant invoices (overcharge, unauthorised) and liaise with suppliers as necessary
- Oversee maintenance schedules, issue Purchase Orders
- Ensure the fleet is kept complaint as possible with MOT's, Servicing, 8 weeks checks
- Keep up to date with latest legislation
- Assist with monthly reporting to the wider business
- Managing the inbox
The Successful Applicant
Relevant Education, Training and Skills:
- Good knowledge of Microsoft Office / M365.
- Experience in Microsoft Excel Pivot Tables would be beneficial.
- Fleet Management Experience would be beneficial.
- The ability to research and collate information as required to perform role.
- Meticulous attention to detail to ensure accurate work.
- The demonstrable ability to establish and sustain good working relationships, and work individually and to remain calm and motivated under pressure
- Effective oral and written communication skills.
- Good organisational and time management skills.
- Confidence in communicating via the phone
Key skills and attributes:- Outstanding written and spoken communication skills.
- Proficient with Microsoft office 365 - Word, Excel, SharePoint, Teams etc
- Excellent organisational & time management skills
- Self-motivation, with the ability to confidently work and independently.
