About the Role

AtCrown Fine Art, we specialise in the safe handling, transportation, and installation of priceless artworks. As a part of the team, you’ll be part of a team that works behind the scenes to ensure every masterpiece is treated with the respect and precision it deserves.

You will support the Leadership Team by streamlining collaboration to enhance productivity. Providing excellent service is essential, as building strong, lasting relationships with public and private institutions aligns with our CORE strategy and encourages deeper client engagement.

The ideal candidate for this role will be friendly, energetic, personable and willing to take the initiative to jump in and assist with issues as they arise.

What You’ll Do

  • Executive & Operational Support: Assist the Leadership Team by understanding their priorities, coordinating meetings, managing inquiries, and ensuring smooth day-to-day operations.
  • Financial Administration: Handle local finance matters including accounts payable/receivable, supplier queries, reconciliations, and liaising with the Central Finance Department.
  • Reporting & Analysis: Produce accurate business reports, including monthly accruals and WIP reports, and support with stock reporting and aging debt queries.
  • Process Improvement: Identify operational inefficiencies and contribute to refining or developing new processes to enhance business performance.
  • Office & Facilities Management: Oversee general office administration, purchase ordering, visitor pass management, and coordination of service contracts (e.g., cleaning).
  • Client & Staff Hospitality: Ensure meeting spaces are well-prepared and refreshments are provided for management and clients, either directly or via support staff.

  • Strong Project Coordination Skills: Ability to manage multiple tasks and timelines, ensuring smooth execution of logistics and client services across departments.
  • Excellent Communication & Relationship Management: Skilled in liaising with clients, suppliers, and internal teams to maintain high service standards and resolve issues efficiently.
  • Financial & Reporting Acumen: Experience with financial processes such as invoicing, reconciliation, and reporting, ideally with exposure to logistics or art handling environments.
  • Process Improvement Mindset: Proven ability to identify operational gaps and implement solutions that enhance efficiency and client satisfaction.
  • Attention to Detail & Discretion: High level of accuracy in documentation and handling sensitive information, especially in a high-value, client-focused industry.
