Job description

Fixed term 10 months (maternity cover) - May 2025 to March 2026

14 hours per week

We are seeking an experienced accounts administrator on a 10-month fixed term contract, covering maternity leave. The role involves most aspects of small business accounts administration: payroll; processing accounts payable; generating and monitoring accounts receivable; setting up payments for authorisation; reconciling transactions; calculating commissions from sales reports; generating monthly financial reports for management, and quarterly reports for the board; and assisting with the annual external audit.

The scope of work includes financial administration for the Timaru Information Centre, which is managed by the Ngāi Tahu Māori Rock Art Trust. A high level of computer literacy is needed, as the reconciliation of sales and calculation of commissions is carried out via XERO, our POS system, and several third-party booking systems.

The successful applicant will have a proven track record and experience in financial administration and come with excellent references.

This role is 14 hours per week, with flexible working hours, negotiated to suit the successful applicant.

The role requires the following competencies:

  • Significant experience and a proven track record in financial administration, with excellent references from current and previous employers
  • Familiarity with basic accounting principles and regulations to ensure compliance; knowledge of basic book-keeping practices to effectively manage the financial record
  • Meticulous work habits, with a high level of attention to detail, to input data accurately and efficiently, and ensure the integrity of the financial record
  • A high level of computer literacy, able to learn new systems quickly, including POS and third-party booking systems; proficiency in the use of XERO accounting software; familiarity with Smartly payroll system and ANZ Direct
  • Excellent time management skills, able to meet deadlines

Key tasks

  • Accounts payable and receivable: entering, checking and processing accounts payable; setting up batch payments; generating invoices from sales, contracts or billing data and monitoring payment.
  • Reconciling transactions: reconciling inward payments via XERO and POS integration and verified by and third-party booking system data; reconciling outward payments to invoices, batch payments and receipts.
  • Calculating commissions: using sales reports from XERO, POS and third-party booking system data to calculate commissions for payment.
  • Payroll: checking and entering data from time sheets into Smartly payroll system fortnightly; setting up new employees in the system as required; generating monthly leave balance reports for leave liability adjustments.
  • Financial reports: generating monthly financial reports from XERO for management purposes (budget variance by department); generating quarterly reports for Ngāi Tahu Māori Rock Art Trust board meetings (balance sheet, budget variance, profit and loss by department, aged receivables) and Venture Tourism (Timaru Information Centre budget variance).
  • Assistance with audit: generating reports and providing documentary evidence to support the annual external audit process (August-September).
