Job title: Finance Assistant – Accounts Payable

Department: Finance

Inspired & supported by: Senior Accounts Payable Supervisor/Finance Manager

Salary: £33,668 (including service charge)

Your purpose will be: Reporting to the Senior Finance Leader / Finance Manager, responsible for processing payments and reconciliation of supplier accounts, ensuring timely and accurate invoice processing, and maintaining supplier relationships.

You will be accountable for:

  • Creating new vendors and updating vendor bank details in the Finance system (SUN)
  • Managing the relationship between automated AP/Procurement system (BirchStreet) and resolving exceptions
  • Matching invoices to PO and coding to the correct nominal account and code centre
  • Researching and resolving invoice discrepancies
  • Preparing invoices for payment runs and sending remittances to suppliers
  • Running payment drafts for Finance Manager review
  • Ensuring no invoices or credit notes remain open over 60 days
  • Assisting with monthly reports
  • Managing food & beverage month-end journals
  • Supporting internal and external audit queries
  • Collaborating with the cost controller and executive chef on food and beverage costs
  • Engaging with management to resolve issues
  • Maintaining high communication, cooperation, and goodwill with stakeholders
  • Following fire, health, and safety regulations
  • Performing additional tasks as instructed by senior finance staff
Qualifications:

Requirements for this role:

  • Experience in Accounts Payable, preferably in luxury or hospitality sectors
  • Enthusiastic, positive personality with relationship-building skills
  • Strong communication skills (written & verbal)
  • Excellent administration and organizational skills
  • Attention to detail and quality focus
  • Team player with professionalism
  • Commitment to continuous improvement
  • Data analysis ability
  • Proficiency in Microsoft Excel and Office suite
  • Studying towards ACCA (preferred)
  • Previous hospitality industry experience
  • Knowledge of Sun and BirchStreet systems (desirable)
