We are currently recruiting for a Finance Assistant to work for Dorset Police at the headquarters in Middlemoor Exeter.
This role will be working Monday to Friday, 9am to 5pm, 37 hours a week. The rate is £11.98 per hour.
Please note, this would be a temporary role initially.
JOB PURPOSE: Perform central purchasing and exchequer activities for the Alliance, including sourcing goods and services such as ICT, travel, and accommodation. Responsible for administration, accurate processing, and recording of payments, receipts, and other financial transactions. Handle security of seized monies and provide financial support for major operations as needed.
MAIN RESPONSIBILITIES:
- Liaise with suppliers and customers regarding stationery, printing, and other consumables; administer stocks and orders as necessary.
- Check and process all invoices received into the financial system within specified timescales, including claims from the public (e.g., interpreters fees, pedlars certificates, lost property returns).
- Review and challenge purchase requests with customers; advise on and use appropriate contracts and suppliers to meet needs cost-effectively.
- Administer receipt of goods inwards, including storage and distribution.
- Ensure all relevant items are added to the Force inventory following financial regulations.
- Add new suppliers to procurement systems as necessary.
- Raise sales invoices, monitor outstanding monies, produce debtor reports, send reminders, follow up on overdue balances, and handle debtor queries. Arrange for write-offs when appropriate. Complete monthly financial health reports.
- Undertake cash collections at police stations and bank monies accordingly.
- Record all income received, including cash, cheques, and electronic transfers.
- Manage Imprest account, reconcile cash float, bank statements, and claims. Arrange transfers and cash deliveries as needed.
- Process urgent and international payments, internal transfers, and treasury investments using the Force internet banking system. Support the treasury team in updating bank statements for investments.
- Respond to Freedom of Information requests related to the Exchequer area.
- Assist with audits by the Audit Commission and Internal Force Audit.
- Maintain records for purchases made on credit cards and reconcile with statements.
- Demonstrate excellent interpersonal and communication skills, with a commitment to customer service.
- Show good administrative skills and high accuracy in financial tasks.
- Organise own time effectively, meet deadlines, and prioritise workloads.
- Handle incoming correspondence and payments, analyse information, and maintain accurate records.
- Possess good computer skills, including experience with spreadsheets and word processing.
- Provide evidence of trust and responsibility in previous roles, especially related to purchasing or finance.
