Job description

Job Title: Finance and Administration Support Officer
Reports to: Office Manager
Depot: Romford

The main purpose of the Finance and Administration Support Officer is to maintain all aspects of purchase pricing and perform specific finance functions as outlined below. You will need to be able to multitask, prioritize your workload, and keep information confidential. This role offers a deep understanding of the business operations and opportunities to build relationships across all staff levels.

Main Duties of the Role:
  1. Create and maintain all supplier price lists.
  2. Action supplier price increases and ensure margin maintenance.
  3. Review and action any government-mandated price increases.
  4. Create and maintain overall cost and sell price lists.
  5. Resolve pricing queries related to supplier invoices.
  6. Liaise with the Manchester buying team.
  7. Create and maintain supplier and customer retro price lists, including relevant reporting.
  8. Set up bi-monthly promotional activities, price lists, and pop-ups.
  9. Prepare supplier retro reports and accruals.
  10. Set up products in Defacto system.
  11. Liaise with suppliers and respond to requests.
  12. Maintain allergen information and specific product details (e.g., ABV) in Defacto.
  13. Maintain fixed assets and depreciation records within Defacto.
  14. Reconcile control accounts.
  15. Maintain SECR reporting for carbon measurement.
  16. Support adding new products onto Defacto.
  17. Handle month-end finance journals and processes.
  18. Demonstrate excellent computer skills, including advanced Excel and all Microsoft Office programs.
  19. Proven experience in a busy role and administrative work.
  20. Strong and assertive time management skills.
  21. Detailed understanding of Hills Prospect.
  22. Ability to work independently and as part of a team.
  23. Excellent attention to detail and communication skills.
  24. Results-driven with a flexible approach and willingness to learn new skills.
  25. Ability to plan workloads to meet internal and external demands.
  26. Proactive and reactive in responding to work matters.
  27. Professional and polite in dealing with customers and staff.
  28. Maintain confidentiality when handling personal data.
