Job description

Field Operations - Planning and Scheduling Coordinator

Main Purpose of the Role

The Field Operations team is responsible for allocating field resources whilst ensuring Service Level Agreements are always adhered to. The primary purpose of this role is to manage the day-to-day operational planning and scheduling requirements of the Field Operations Department, ensuring work is effectively planned, coordinated and adjusted in response to changing operational demands. The role is responsible for responding to immediate scheduling requirements while also managing the associated administrative functions, including reviewing future work requests and actioning them promptly using the relevant business systems and information platforms.

A key responsibility is to ensure all stakeholders have a clear understanding of the operational plan, covering responsive, cyclical, project and commissioning activities. Working closely with Regional Managers, the role will schedule and coordinate appointments, maintain service delivery performance, and support the successful delivery of works across their respective regions throughout the year.

Whilst the following tasks are undertaken it is essential that the respective escalation procedures are adhered to and always followed. Additionally, it is expected that all team members will work extremely closely together forming and maintaining a strong team environment including the fostering of a close working relationship with their respective regional engineering team. Due to the operational nature of this role, this team unit is seen as an essential component to the successful delivery of the operational objectives and the wider ranging success of Switch2 Energy Ltd.

Main Responsibilities

Work in Progress Management - Manage all Work in Progress (WIP) activities from initiation through to completion, taking ownership of all actions required to progress live jobs efficiently and within agreed performance parameters. Ensure all job-related information, communications, updates, risks, access arrangements and supporting documentation are accurately captured and maintained across the relevant operational and information platforms.

Maintain clear and up-to-date records so that the immediate scheduling team, engineering teams and other stakeholders have full visibility of the status, next steps and actions required to achieve completion. Throughout the lifecycle of each job, liaise professionally and proactively with clients, residents, internal departments and engineering teams, ensuring all parties are informed of progress, requirements, changes and any issues that may impact successful delivery.

Scheduling, Engineer Allocation - Assign all live jobs for reactive, planned, project and all associated work requests, including CMV work, plus any work held within the WIP file to the engineering team and in doing so ensure that the correct engineer resource has been allocated based upon their geographical location, competency levels and expected duration of the proposed works in accordance with their daily schedule.

Resource Planning - Plan the regional resources to accommodate commissioning works, inter departmental engineering requirements, contractual obligations i.e. CMV, exception checking programs and or other pre planned programmes of work as required.

Scheduling, Appointments - Proactively manage each job throughout its lifecycle, taking ownership of all activities required to achieve successful completion while effectively managing stakeholder communications and expectations. Ensure appointments are agreed in line with contractual obligations, regional resource availability and current work-in-progress commitments.

Maintain regular communication with residents, clients, engineers and internal stakeholders, providing timely updates on job progress and any changes to planned activities. Where operational constraints prevent an existing appointment from being met, actively engage with the resident or client to explain the reason for the change, seek agreement for a revised appointment and minimise any impact on service delivery. Ensure all communications, appointment changes and agreed actions are accurately recorded within the relevant business systems and information platforms.

Project Coordination - Assist in the planning, programming and scheduling of project and contract works within your region, contributing to the development of operationally workable delivery plans that align with contractual requirements, resource availability and programme objectives. Work closely with internal project teams to coordinate engineering resources, provide scheduling support and ensure planned activities can be delivered effectively in the field.

Support the delivery of the annual CMV programme and other business initiatives by maximising all opportunities for engineers to attend scheduled appointments, complete planned work and undertake resident access attempts. Take ownership of engineer resource allocation, monitor progress against programme milestones, identify and resolve delivery constraints, and ensure all works are completed within agreed timescales and performance targets.

Health & Safety Flags - Update and maintain all relevant information within the Company's operational systems and information platforms, ensuring health and safety alerts, resident vulnerability information and special attendance requirements, including two-person visits, are recorded accurately and kept up to date. Promptly communicate and escalat any health and safety concerns through the Company's designated escalation procedures, ensuring engineers are fully informed of any site-specific risks, access requirements or resident support needs prior to attendance.

Cyclical Maintenance Visit Management - Plan, coordinate and schedule contracted CMV works within your region, working closely with the Regional Engineering team, clients and other key stakeholders to ensure all parties are aware of planned work activity and delivery timescales. Maintain regular direct engagement with clients, particularly where standard access procedures are proving ineffective, to secure support and enable successful delivery. Demonstrate strong written and verbal communication skills to ensure both internal and external stakeholders are kept fully informed of scheduling plans, changes, priorities and operational performance.
