Job summary

TFP Oxford Fertility is seeking a patient support assistant to deliver exceptional customer care and provide efficient administration for our patients. Based in Oxford, you will be the central point of contact for patients, staff and visitors, handling enquiries in person, by phone and by email.

The role involves managing funding queries, appointments and test results, working closely with NHS consultants and satellite services.

Qualifications

• Experience in an administration role.
• Experience working with patients/customers face-to-face and over the telephone.
• Proficient knowledge of Microsoft Office packages.
• Excellent keyboard/IT skills.
• Excellent oral and written communication skills.
• Strong time management skills.
• Commitment to delivering a high-quality patient experience.
• Comfortable asking for and taking payments from patients.

Responsibilities

• Handle initial enquiries via telephone/email within 24 hours of receipt.
• Process GP, consultant and self-referrals within 3 days.
• Coordinate with satellite clinics to ensure a seamless patient pathway.
• Explain processes to new patients and those seeking treatment.
• Maintain patient records and correspondence.
• Be conversant with the patient database for appointments and invoicing.
• Document all communications with patients in the system.
• Ensure payments are collected for prepaid appointments and follow up as needed.
• Scan and file patient notes, invoices and paperwork into the system.
